Overview:

Compensation: $23.00 - $31.25 hourly based on experience and credentials

Location Type: Hybrid, a flexible work model blending in-office and remote working based on business needs

Position Type: Full Time

Schedule: Monday through Friday 8:30 AM – 5:30 PM

 

The Commercial Services Administrative Assistant provides administrative support to the Commercial Services division and the VP of Commercial Services. This individual is responsible for preparing correspondence, reports, presentations, contracts, and legal documents, while also responding to phone calls and letters from members, and assisting in preparations for commercial meetings, community events, and other credit union events

Responsibilities:

• Provide comprehensive administrative support to the Commercial Services division and VP Commercial Services, including the preparation of correspondence, reports, contracts, and other legal documents
• Respond to email, phone, and mail inquiries from credit union members
• Draft and write responses to general reference questions
• Research issues and ensure corrections are made; escalate issues to appropriate management staff when necessary
• Provide administrative assistance to the Vice President regarding community involvement across the division
• Prepare meeting notices, maintain member biographies, meeting minutes, and other records
• Develop a deep understanding of the Monday.com CRM
• Establish a standard regime of report review and dissemination, and establish a cadence for the VP with staff on report discussions
• Work with the Commercial Services division and the VP to maintain the vendor list and files
• Assist in preparing materials for the Board of Directors, Compliance, ERM & Audit meetings
• Assist in the preparation, setup, and hosting responsibilities for in-house and off-site business development functions
• Maintain credit union records confidentially and securely
• Attend educational events to increase professional knowledge
• Complete annual compliance and info security training to understand employees' role in maintaining effective compliance and security programs

Qualifications:

• High school diploma or equivalent
• Bachelor’s degree in business administration, communications, or a related field preferred
• Minimum of 3 years of administrative or executive assistant experience, preferably within a financial institution or commercial services environment
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with CRM platforms (Monday.com preferred)
• Familiarity with document management systems
• Ability to prioritize tasks by effectively managing competing and changing priorities to meet deadlines
• Accurate, detail-oriented, and organized with task management
• Ability to independently resolve problems or situations with varying complexities
• Proficient written, verbal, and interpersonal communication skills to interact effectively with members, staff, vendors, and government regulators
• Ability to explain practices, procedures, and policies to reach agreement with others
• Proficient knowledge and understanding of credit union products, services, policies, and procedures
• Proficient knowledge and understanding of regulatory compliance
• Proficient knowledge and understanding of credit union computer systems and software applications required to perform job duties
