A Brief Overview

The Director of Budget & Financial Planning is the operational budget owner for Holy Name’s physician network. This role builds and maintains budgets, staffing models, and overhead analyses across all service lines and shared services. The position is operationally focused — in the practices, working directly with physicians, translating clinical activity into financial plans.

Reports to the Executive Director of Finance and works in close partnership with the CFO’s Finance team to consolidate reporting. Budget and accounting functions remain in Finance; Finance serves as the final check. Manages two direct reports: a Financial Analyst and a Payroll & Compensation Analyst.

What you will do

  •  Annual Budget Development & Management:
    • Lead the end-to-end annual budget process for all physician practices, service lines, TINs, and shared service departments across the network.
    •  Build detailed operating budgets incorporating provider volumes, revenue projections, staffing models, supply costs, facility expenses, and overhead allocations. Develop proformas for new physician hires, service expansions, and site development.
    • Coordinate budget development timelines, templates, and data collection with practice managers, service line directors, and department heads.
    • Prepare budget packages for the Executive Director of Finance and VP, then work with Finance to consolidate into system-level reporting. Finance performs the final review.
    • Manage mid-year budget revisions and re-forecasts as operational conditions change.
  • Proformas, Staffing Models & Scenario Planning:
    • Develop rolling financial forecasts (quarterly and annual) that project revenue, expenses, and contribution margins by practice, service line, and TIN.
    • Contribute to proformas and staffing models for strategic initiatives including new physician hires, site development, provider recruitment, and service line expansion — working as a secondary contributor to the Manager of Data Analytics & BI, who is the primary owner of pro forma modeling. This role’s focus is on budget-side assumptions, operational inputs, and physician-facing validation. Engage directly with physicians and practice leadership to validate assumptions and discuss financial performance.
    • Conduct scenario and sensitivity analyses to model the financial impact of volume changes, payer mix shifts, staffing adjustments, and reimbursement changes.
    • Maintain forecast models that leadership can rely on for real-time decision support.
    •  Variance Analysis & Financial Reporting:
    • Produce monthly and quarterly variance reports comparing actuals to budget across all cost centers, identifying key drivers of over/under performance.
    • Prepare clear, actionable variance narratives for practice managers, service line EDs/Directors, and senior leadership. Walk through budget-to-actual results directly with operational leaders and physicians to drive accountability and corrective action. This operational narrative and physician-facing walk-through function is this role’s primary lane; automated dashboards and recurring data reports are built and maintained by the Manager of Data Analytics & BI.
    • Develop and maintain standardized financial reporting packages summarized by service line, consistent with the organization’s internal financial statement format. Provide supporting data and analyses for leadership presentations as needed.
    • Track and report on key financial and operational metrics: cost per provider, expense per RVU, overhead ratios, practice contribution margins, and staffing cost benchmarks. Develop new metrics as needed to better analyze service line performance.
  •  Overhead Review & Cost Analysis:
    • Conduct ongoing overhead reviews across service lines, practices, and shared services to identify cost reduction opportunities and allocation inconsistencies.
    • Ensure consistent, defensible allocation of indirect costs (IT, HR, facilities, credentialing, admin) to practices and TINs.
    • Work within the existing chart of accounts and cost center structure maintained by Finance; flag recommended changes to reporting dimensions as the network evolves.
    • Coordinate with Finance to ensure MSO budget data integrates cleanly into consolidated financial reporting. Budget and accounting consolidation remain a Finance function; this role provides the operational inputs.
  • Physician Compensation Support:
    • Collaborate with the Payroll & Compensation Analyst to ensure accurate tracking of provider payroll, benefits costs, and total compensation expense against budget.
    • Build compensation-related budget assumptions for new hires, promotions, market adjustments, and incentive plan accruals.
    • Support the Executive Director of Finance with budget impact analyses for compensation committee recommendations and contract renewals. Compensation plan design, modeling, and market benchmarking are owned by the Manager of Data Analytics & BI; this role provides the budget impact and expense tracking inputs.
    • Finance Coordination & Reporting Alignment:
    • Maintain a regular coordination cadence (biweekly meeting or structured email exchange) with the Executive Director of Finance and Finance leadership to ensure all changes — new physicians, service line adjustments, staffing updates — are communicated and reflected consistently across MSO and Finance reporting.
    • Ensure MSO reporting is consistent with the organization’s internal financial statement format, which summarizes by service line. Coordinate with Finance to prevent conflicting or inconsistent information being presented to committees or leadership.
    • Support the transition of physician network financial statements from legacy formats to the current service-line-based internal reporting style, working with Finance to maintain alignment.
  • Team Leadership & Cross-Functional Coordination:
    •  Manage, mentor, and develop two direct reports: Financial Analyst and Payroll & Compensation Analyst
    • Set performance goals, conduct regular reviews, and ensure work product meets quality and timeliness standards.
    •  Coordinate closely with the Manager of Data Analytics & BI to maintain clear, complementary lanes: this role leads operational budget-to-actual narratives, physician-facing financial walk-throughs, and compensation expense tracking; the Analytics team leads dashboards, automated reporting, compensation modeling, benchmarking, and pro forma development (primary). Scenario analysis is shared, with assumptions aligned across both functions
    • Serve as the financial liaison to operations leaders, practice managers, physicians, and Revenue Cycle. This role is expected to be in the practices — meeting with physicians, reviewing staffing and overhead, and ensuring budget assumptions reflect operational reality on the ground.
    • Partner with IT on financial system implementations, reporting tool enhancements, and data integration projects.

Education Qualifications

  • Bachelor's degree in Finance, Accounting, or Business Administration required
  • Master's degree (MBA, MHA) preferred

  • 7-10 years of progressive experience in financial planning, budgeting, and analysis, with at least 3–5 years in healthcare required
  • Direct experience with physician practice or ambulatory network finance required
  • Proven track record managing a full budget cycle from development through variance reporting for a complex, multi-entity organization required
  • Experience with physician compensation budgeting and cost allocation in a hospital-owned physician network preferred
  • Prior supervisory experience managing financial analysts or planning staff required

Knowledge, Skills, and Abilities

  • Expert-level Excel skills including complex financial models, scenario tools, pivot tables, and macros
  • Proficiency in budgeting and financial planning software (Adaptive Insights, Axiom, Prophix, or equivalent)
  • Experience with healthcare financial systems, general ledger platforms, and practice management system data
  • Working knowledge of SQL or BI tools (Power BI, Tableau) for data extraction and reporting a plus
  • Comfort with AI-assisted tools and willingness to adopt emerging technology for process improvement
  • Strong organizational skills with the ability to manage complex, multi-workstream projects with firm deadlines
  • Excellent communication skills — able to explain budget assumptions, variances, and financial concepts to non-finance audiences
  • Detail-oriented with a commitment to accuracy and data integrity, balanced with the ability to see the big picture
  • Collaborative and adaptable; skilled at working across departments and navigating a matrix reporting environment
  • High accountability and ownership mentality — takes pride in producing work that leadership can trust and act on
