Position Announcement

Join Utah Valley University and play a pivotal role in shaping the first impression prospective students and their families have of UVU. As the Campus Visit and Event Coordinator, you will lead the planning and execution of impactful recruitment events and oversee the daily operations of the UVU Welcome Center, helping create welcoming, engaging, and memorable experiences for thousands of visitors each year. Summary of Responsibilities

  • Event Planning and Coordination and Team Oversight: Plan, coordinate, and execute admissions recruitment events, such as open houses, conferences, and banquets. Manage event logistics, including venues, catering, décor, technology, and stakeholder coordination. Oversee event staff, volunteers, and student ambassadors to ensure smooth execution and alignment with UVU's brand and recruitment goals.
  • Supervision & Operations Oversight: Provide direct supervision to the Tour Coordinator and oversight of Welcome Center front desk operations. Ensure guest experience standards are met through scheduling, customer service training, and operational efficiency. Serve as a point of escalation for guest or tour-related issues.
  • Marketing and Promotion: Collaborate with the Admissions team to develop and implement marketing campaigns promoting Admissions events and experiences through social media, email, text, and print. Monitor campaign performance and adjust strategies for maximum impact.
  • Budget Management: Create and manage budgets for events and Welcome Center operations, ensuring cost-effectiveness and responsible use of funds. Track expenses and prepare financial reports.
  • Event & Experience Evaluation and Reporting: Conduct post-event and guest experience evaluations, analyze data, and prepare reports on attendance, feedback, and success metrics. Use insights to recommend and implement improvements.
  • Performs other job-related duties, as assigned.

Qualifications / Licenses / Certifications

  • Associate degree or two years of related experience.
  • Experience in event planning, hospitality, or customer service.
  • Proficiency with office software and the ability to meet deadlines

Preferred Qualifications:

  • Bachelors degree in a related field. 2+ years in event coordination or high ed recruitment.
  • Experience supervising staff or students and using event/CRM systems.

Knowledge / Skills / Abilities

Knowledge

  • Understanding of event planning and coordination best practices, including logistics, scheduling, and stakeholder management.

  • Familiarity with campus visit programming, including front desk operations, visitor services, and tour coordination.

  • Knowledge of various marketing channels and tools, including social media, email marketing, and print media, to effectively promote events and campus visits.

  • Knowledge of budget development, expense tracking, and financial reporting to ensure cost-effective execution of events and visit programs.

  • Knowledge of methods for collecting, analyzing, and reporting on event and visitor data to evaluate success and inform future improvements.

Skills

  • Strong organizational skills and attention to detail; skill in oversight and maintenance of event and visitor management software.

  • Excellent verbal and written communication skills, with the ability to engage and build relationships with prospective students, families, and community partners.

  • Proficiency in creating and implementing effective marketing campaigns for events and campus visits.

  • Strong supervisory skills to oversee the Tour Coordinator and front desk staff, providing training, guidance, and performance feedback.

Abilities

  • Ability to manage multiple projects and deadlines efficiently, ensuring all aspects of event planning and execution are completed on time.

  • Capability to analyze event data and provide feedback to generate insightful reports and make informed recommendations for future events.

  • Strong Leadership abilities to coordinate and motivate event staff and student ambassadors, fostering a collaborative team environment.

  • Ability to be a self-starter: crucial that the candidate is able to work well without constant supervision

  • Flexibility to work a variable schedule, including evenings and weekends, to cover events and visit programs as needed.

Utah Valley University

Utah Valley University was established in 1941 as Central Utah Vocational School (CUVS) with the primary function of providing war production training. CUVS was part of the Provo School District located in south Provo. The institution received a state appropriation in March 1945 of $50,000 to operate for the 1945-1947 biennium. In 1947, the school received funding as a permanent state institution. A new site for the school was acquired on University Avenue in Provo in 1948; in the 1952, the state appropriated funding for the first construction on that site. As enrollments grew, the state acquired over 185 acres in southwest Orem and the first building was completed in 1977. Today, the University’s facilities consist of a combined total of 412 acres with 50 buildings with campuses in Orem, Provo, and Heber City and property in Vineyard and at Thanksgiving Point in Lehi.
