Jefferson is seeking an Events Coordinator to support The National Science Foundations NSFs Office of Legislative and Public Affairs (OLPA).

The Events Coordinator provides hands‑on logistical planning and on‑site support for meetings, conferences, exhibits, and outreach events. This role supports event managers by coordinating logistics, managing inventory and materials, supporting exhibitors and speakers, and ensuring events run smoothly from setup through breakdown.

This role will be Onsite at the NSF Offices at the Randolph Building, 401 Dulany Street, Alexandria, VA 22314.

This recruitment effort is in preparation for a proposal and is therefore unfunded until contract award. The annual salary range is negotiable. Compensation decisions depend on a wide range of factors including but not limited to skill sets, experience, and training, security clearances, licensure, and certifications, and other business and organizational needs.

Responsibilities

  • Coordinate logistics for meetings, conferences, and outreach events, including venues, shipping, signage, registration, and on‑site support.
  • Support exhibit and expo‑style booth setup, breakdown, storage, inventory tracking, and redeployment.
  • Manage event materials, supplies, and inventory forecasting; coordinate on‑the‑ground purchases as needed.
  • Assist with RSVP management, registration platforms, speaker coordination, and collection of bios and headshots.
  • Provide on‑site event support, including room setup, attendee assistance, vendor coordination, and troubleshooting.
  • Prepare checklists, reports, and post‑event documentation; contribute to weekly updates and status reports.
  • Adapt event logistics for virtual or hybrid environments as required.

Required Qualifications

  • Bachelors degree from an accredited college or university or equivalent experience.
  • A minimum of 5 years of professional experience supporting trade-show style events, conferences, or exhibits.
  • Proficiency with Microsoft Office and Adobe Creative Cloud.
  • Demonstrated experience managing shipping and receiving logistics across multiple events.
  • Experience working with major trade exposition vendors and delivering high-quality customer service.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to lift and maneuver event materials and equipment (50 lbs) during on-site events.
