Events Operations Manager
Location: San Francisco, CA (Onsite)
Position Overview: The successful candidate will oversee event logistics, budget tracking, forecasting, project management, vendor coordination, and operational reporting for a portfolio of alumni events ranging from small gatherings to large-scale programs with up to 800 attendees. This position requires exceptional communication skills and the ability to build strong relationships with vendors, staff, executives, and alumni stakeholders.
Responsibilities
Manage the operational planning and execution of alumni events, including conferences, networking events, receptions, and large-scale programs.
Coordinate event logistics, vendor management, venue arrangements, contracts, catering, transportation, and event materials.
Develop, track, and analyze event budgets, expenses, forecasts, and financial reports.
Maintain and analyze event data, attendance metrics, and operational reports using Excel and other tracking tools.
Serve as a primary liaison between vendors, internal teams, executives, and alumni to ensure seamless communication and event execution.
Create and manage project timelines, deliverables, and event schedules while balancing multiple priorities.
Monitor event performance and recommend process improvements based on data analysis and reporting.
Support administrative and operational activities related to alumni engagement programs.
Troubleshoot challenges and make critical decisions in fast-paced, high-pressure situations.
Assist leadership with special projects, forecasting, and strategic event planning initiatives.
Qualifications
5+ years of experience in event operations, project management, event coordination, or a related field.
Experience supporting mid-sized to large-scale events, including programs with several hundred attendees.
Strong budgeting, forecasting, and financial analysis skills.
Intermediate to advanced Excel proficiency, including data tracking, reporting, spreadsheets, formulas, and analysis.
Excellent project management and organizational skills with a strong attention to detail.
Ability to communicate effectively with vendors, executives, internal staff, and external stakeholders.
Comfortable working in a fast-paced environment and managing multiple priorities under tight deadlines.
Proven ability to remain calm, professional, and solutions-oriented during high-pressure situations.
Experience within higher education, alumni relations, nonprofit organizations, or association management is a plus.

Pay Details: $35.00 to $42.00 per hour
