Be the Best Executive Administrative Assistant You Can Be
As an Executive Administrative Assistant, you will provide a broad range of day-to-day executive assistance related to general business operational needs. You will oversee executive schedules, travel plans, expense reports, meeting Handle additional projects as assigned by executive leadership and director. Provide daily coverage and assistance to the administrative department as needed. Has primary responsibility for answering executive inbound telephone calls, distributing faxes, welcoming visitors, stocking, managing office equipment, etc. Performs special projects and other duties as assigned.

- Technical education or position knowledge equivalent to a minimum of two (2) years of college and a minimum of 5 years as an active assistance for a chief-level executive administrative work experience in a similar position.
- Advanced Office Management practices and procedures, including proficiency in Microsoft Office; Word, Excel, Power Point experience with Visio is a plus and operation of office equipment. Knowledge of/proficiency in Microsoft Outlook a plus. Familiar with Office 365 Thorough/effective English grammar and spelling.
- Operate and use advanced word-processing, database, and software efficiently and effectively.
- Exercise excellent time management and organizational skills to meet deadlines and sustain ability to work in a multi-task environment.
- Provide a high level of quality customer support.
- Exercise initiative and proactive approach to minimize "reactive" situations.
- Communicate and interact effectively with internal/external "customers."
- Use effective English, grammar, and spelling.
- Possess strong negotiating and customer service skills
Responsibilities:
As a Executive Administrative Assistant, you will:
- Provides a high level of executive assistant and office support for members of the Executive Management Team
- Responsible for managing individual calendars (daily), Responds to and handles incoming calls/request
- Coordinates all travel plans for executive teams, guest, and consultants
- Meeting schedule internally and externally including best time/date for praticipants, notification and meals brought in when needed
- Facilitation of on-site and off-site retreats/meetings.
- Draft communications to employees
- Coordinate interviews with employee candidates
- Assist in the transition of outgoing and incoming Executives, including relocation (working with realtors, apartment, furnishings, transport of car) local mobile phone, furnishing office, etc.
- Liaison with AccentCare affiliates, employee candidates, internal staff, clients, vendors, potential investors, potential affiliates (daily)
- Reconciling expense reports (monthly)
- Heavy administrative support such as: answering phones, faxing, typing, filing, e-mail, coordinate conference calls, misc. (daily)
- Provides coverage and assistance to administrative support team regularly; including collaboration on projects and assignments.
- Assists with managing the office needs receptionist requires additional support.
- Performs special projects and other duties as assigned.
