Sigma Inc. is seeking an experienced Executive Assistant / Administrative Assistant to support senior executive leadership in a fast-paced professional environment in Boston, MA. Job Responsibilities

Executive Support

  • Provide administrative support to executive leadership, including CEO, President, Executive Vice President, and other senior leaders.
  • Manage complex executive calendars, scheduling meetings, appointments, and events.
  • Coordinate virtual meetings using Zoom and Microsoft Teams.
  • Screen calls, prioritize communications, and manage executive correspondence.
  • Prepare reports, presentations, meeting materials, and business documents.
  • Handle highly confidential and sensitive information with discretion and professionalism.

Calendar & Meeting Management

  • Coordinate internal and external meetings across multiple time zones.
  • Schedule and organize executive meetings, board meetings, and leadership discussions.
  • Prepare agendas, meeting materials, and follow-up documentation.
  • Ensure seamless scheduling and conflict resolution for executive calendars.

Travel & Event Coordination

  • Arrange domestic and international travel itineraries.
  • Coordinate flights, hotels, transportation, and travel logistics.
  • Manage travel expense documentation and reporting.
  • Support executive events and special projects as needed.

Administrative Operations

  • Perform internet research and gather information for executive initiatives.
  • Create and maintain spreadsheets, presentations, reports, and databases.
  • Assist with special projects and administrative assignments.
  • Collaborate with internal teams and external stakeholders to support business objectives.

Required Qualifications

  • Experience as an Executive Assistant, Senior Administrative Assistant, or Executive Administrator experience.
  • Experience supporting C-suite executives or senior leadership teams.
  • Strong calendar management and meeting coordination experience.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Zoom and Microsoft Teams.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information professionally.
  • Strong problem-solving and analytical abilities.

Preferred Qualifications

  • Experience supporting executives within mid-size or large organizations.
  • Experience preparing executive-level presentations and reports.
  • Background coordinating complex travel arrangements.
  • Ability to work independently with minimal supervision.
  • Experience managing multiple priorities in a fast-paced environment.
