Description

A well-established investment and asset management firm is seeking a self-driven and ambitious Executive Assistant to join its growing team. The firm manages a diverse portfolio of investments and business ventures across multiple industries and is known for its fast-paced, entrepreneurial environment. This role will support leadership and internal operations through a variety of administrative, organizational, and communication-related responsibilities. The ideal candidate is highly organized, professional, detail-oriented, and capable of handling sensitive information with discretion. The company values integrity, reliability, and strong execution, and is seeking someone who thrives in a high-level business environment and can help keep operations running smoothly and efficiently.

Responsibilities:

  • Main point of contact amongst executives, staff, external partners, and other satellite offices
  • Manage information flow via email and other messaging platforms in a timely and accurate manner.
  • Manage CEO calendars and set up meetings
  • Make travel and accommodation arrangements occasionally 
  • Prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screen and direct phone and distribute correspondence
  • Organize and maintain the office filing systems
  • Maintain compliance with all company policies and procedures
  • Other duties as assigned

Requirements:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • 1-2 years of office administration or similar related experience
  • Excellent computer proficiency (MS Office – Word, Excel, and Outlook)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Work experience as an Executive Assistant, Personal Assistant, or similar role
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
  • Discretion and confidentiality
  • High school diploma or GED required.
  • Associate degree preferred.

Salary expectation: 75K-110K

Benefits: Hybrid set up.  PTO + Health Insurance
