Executive Administrative Assistant

Location: Dallas, TX
Job Type: Contract
Work Arrangement: 100% Onsite During Training (First Several Months), Transitioning to Hybrid
Pay: $35.00-$42.00 per hour

Position Overview

Wheeler Staffing Partners is seeking an experienced Executive Administrative Assistant to provide high-level administrative and operational support to members of the Executive Leadership Team. This role is responsible for managing executive calendars, coordinating travel, organizing meetings and events, preparing expense reports, and serving as a trusted liaison between executives and internal and external stakeholders.

The ideal candidate has experience supporting C-level executives in a fast-paced corporate environment and thrives in a role requiring exceptional organization, discretion, and the ability to anticipate executive needs.

Key Responsibilities

  • Provide executive-level administrative support to members of the Executive Leadership Team.

  • Manage complex executive calendars, appointments, meetings, and scheduling priorities.

  • Screen and respond to executive phone calls, emails, and correspondence.

  • Coordinate domestic and international travel arrangements, including itineraries and logistics.

  • Plan and organize executive meetings, board meetings, retreats, and company events.

  • Prepare meeting agendas, presentations, reports, and supporting documentation.

  • Prepare, reconcile, and submit executive expense reports.

  • Draft, proofread, and distribute executive communications and correspondence.

  • Coordinate candidate interviews and provide administrative support throughout the hiring process.

  • Assist with executive onboarding and offboarding, including office setup, technology coordination, and relocation logistics.

  • Serve as a primary point of contact between executives, employees, clients, vendors, consultants, and external business partners.

  • Support reception and office operations, including visitor management, office supply coordination, conference room scheduling, and backup administrative coverage.

  • Partner with the administrative team on special projects, departmental initiatives, and process improvements.

  • Perform additional administrative duties as assigned.

Qualifications

  • Minimum of five (5) years of experience supporting C-level executives in an Executive Administrative Assistant or similar role.

  • Experience working in a fast-paced corporate environment preferred.

  • Associate degree preferred; equivalent education and professional experience will be considered.

  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Office 365; Visio experience is a plus.

  • Strong understanding of office management practices, administrative procedures, and business operations.

  • Excellent written and verbal communication skills with exceptional grammar, proofreading, and attention to detail.

  • Strong organizational, time management, and multitasking abilities with the ability to prioritize competing deadlines.

  • Ability to maintain strict confidentiality while exercising sound judgment and professionalism.

  • Exceptional interpersonal and customer service skills with the ability to build relationships across all levels of the organization.

  • Self-motivated, proactive, resourceful, and capable of anticipating executive needs.

  • Strong problem-solving skills with the ability to work independently and collaboratively.

  • Experience using business software, databases, and document management systems.
