SUMMARYThis role serves as a key partner to senior leadership, providing high-level administrative and operational support while ensuring the efficient management of executive priorities. This position requires a strong background in executive support, excellent organizational and time management skills, and the ability to anticipate needs in a fast-paced corporate environment. The ideal candidate will demonstrate professionalism, sound judgment, discretion, and the ability to manage multiple priorities while supporting two senior executives simultaneously. DUTIES AND RESPONSIBILITIESMay include, but are not limited to, the following: Manage complex executive calendars, including scheduling meetings, coordinating priorities, and resolving scheduling conflictsCoordinate domestic and international travel arrangements, including itineraries, logistics, and visa documentation when requiredServe as a gatekeeper for incoming communications by screening and prioritizing requests while ensuring timely follow-up and responsePrepare and submit expense reports, purchase requisitions, and purchase orders; familiarity with SAP or similar systems is a plusCoordinate logistics for executive meetings, leadership sessions, and Monthly/Quarterly Business Reviews (QBRs) including room set up, meeting materials, agendas, and follow-up actionsPrepare presentations, reports, and supporting materials with strong attention to detail. Manage executive action item tracking, ensuring commitments, decisions, and follow-up actions are documented and completed on scheduleSupporting executive leadership team meetings by developing agendas, capturing meeting outcomes, tracking actions, and driving closure of assigned deliverablesCoordinate executive correspondence, including drafting, editing, and reviewing communications on behalf of leadershipAssist with recognition programs, employee events, and leadership communications initiativesIdentify opportunities to improve administrative processes, workflows, and productivity through automation and digital toolsManage documentation and approvals using tools such as DocuSign and internal approval workflowsCollaborate closely with other Executive and Administrative Assistants across the organization to coordinate meetings, travel schedules, and leadership eventsSupport the routing of contracts and approvals in alignment with the company's delegation of authority processMaintain the highest level of professionalism and confidentiality when handling sensitive or proprietary informationAnticipate executive needs, proactively resolve scheduling or logistical challenges, and ensure executives remain focused on strategic priorities EDUCATION, EXPERIENCE AND QUALIFICATIONSHigh School Diploma or GED required; Bachelor's degree preferred10+ years of experience supporting senior executives in an administrative capacity, ideally within a corporate, manufacturing, or industrial environmentProven ability to support multiple executives simultaneously while managing complex schedules and competing prioritiesExperience supporting C-suite, SVP, or VP-level executives in a large corporate environment preferredDemonstrated experience coordinating domestic and international travel, including travel documentation and visasExperience preparing expense reports, purchase requisitions, and purchase orders; familiarity with SAP or similar systems is preferredStrong organizational and time management skills with exceptional attention to detailExcellent written and verbal communication skills with the ability to interact effectively with executives, internal leaders, and external stakeholdersProactive problem-solver with the ability to anticipate needs and operate independently in a fast-paced environmentStrong technology proficiency including Microsoft Office (PowerPoint, Excel, Word, Outlook, ShrePoint); working proficiency or general awareness with willingness to learn PowerBI. Familiarity with emerging productivity tools such as Microsoft Copilot or AI-enabled workplace tools is a plusDemonstrated ability to maintain strict confidentiality and professionalism when handling sensitive informationCollaborative team player who is adaptable, resourceful, and confident navigating ambiguous situations PHYSICAL DEMANDSThis role operates primarily in a professional office environment. Occasional visits to operating units may be required, which may involve exposure to manufacturing environments requiring appropriate PPE such as safety glasses, hearing protection, and other safety equipment. WORK ENVIRONMENTThis position requires frequent sitting, standing, walking, and communication. Occasional bending, reaching, and lifting of light materials (up to 10 pounds) may be required.
