Executive Assistant - New York, NY

We are seeking candidates for an Executive Assistant position with a highly successful investment management firm located in New York, NY. This position will provide administrative and operational support to various teams within the firm. The Executive Assistant will be responsible for maintaining calendar management, coordinating travel arrangements (domestic & international), and event planning. The ideal candidate will have 2-4+ years of administrative experience within asset management. 

This is a permanent position that will pay $100,000 - $115,000 on a base salary (depending on experience). This position is required to be on-site 4 days per week in their New York office. 

Responsibilities:

  • Manage complex, proactive calendar scheduling across multiple time zones for a global team.

  • Coordinate logistics for internal and external meetings, off-sites, and events; prepare and submit expense reports accurately and on time.

  • Arrange domestic and international travel, including detailed itineraries and accommodations.

  • Conduct research and produce reports using internal and external information systems.

  • Provide cross-coverage and backup support to other assistants and leadership teams.

  • Support ad hoc projects as needed for both the immediate team and broader firm leadership.

Qualifications:

  • Bachelor’s degree required.

  • 2-4+ years of experience in an administrative role within asset management.

  • Advanced proficiency in MS Office (Word, Excel, Outlook, OneNote, and PowerPoint), with a willingness to learn new technologies to improve efficiency.

  • Experience logging meetings in CorpAxe is a plus.

  • Strong interpersonal and communication skills, with a high level of reliability, professionalism, and discretion; service-oriented with proactive problem-solving abilities.

  • Excellent organizational, multitasking, and prioritization skills, with strong attention to detail and commitment to high-quality work.

  • Ability to work under tight deadlines and adapt to last-minute changes.
