Executive Assistant
A manufacturing company is seeking a highly organized, proactive, and self-driven Executive Assistant to support the Director of Technology. This critical role ensures the Director operates at peak efficiency by managing administrative operations, maintaining follow-through on priorities, and anticipating needs. The ideal candidate is independent, detail-oriented, and confident making decisions and solving problems when leadership is unavailable.
Responsibilities:
- Manage and optimize the Director's calendar, meetings, priorities, and scheduling to ensure smooth daily operations.
- Attend meetings, take accurate notes, maintain documentation, and track action items through completion.
- Serve as the primary administrative point of contact, preparing materials, coordinating communications, and supporting departmental workflows.
- Proactively identify issues, anticipate needs, and independently resolve routine matters to keep projects and priorities moving forward.
Skills:
- Exceptional organizational, note-taking, and documentation skills with strong attention to detail.
- Excellent time-management skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, including drafting professional correspondence.
- Independent problem-solving ability with a proactive, ownership-driven mindset.
Requirements:
- Prior experience as an Executive Assistant, Administrative Assistant, Project Coordinator, or similar role preferred.
- Demonstrated ability to work independently with minimal supervision.
- High level of professionalism, confidentiality, and discretion.
- Proficiency in Microsoft Office, including Outlook, Teams, Word, and Excel.
- Strong digital organization skills and the ability to learn internal systems quickly.
