    Description

    As an Executive Assistant, you will play a vital role in supporting the smooth operation of the US Sales Trading team. With a focus on executive support, calendar management, and communication, you will ensure the efficient scheduling and coordination of meetings, as well as handle sensitive information with discretion. Your responsibilities will also include travel and event coordination, expense management, and administrative operations, all while collaborating with other teams and maintaining a professional presence.

    • Minimum 1-3 years of experience supporting senior executives in a corporate, investment banking, or financial services environment.
    • Advanced proficiency in Microsoft Office Suite and experience with Concur or similar expense management systems.
    • Exceptional organizational skills, including prioritization, time management, and multitasking abilities.
    • Excellent written and verbal communication skills, with confidence interacting with senior leaders.
    • Demonstrated discretion, sound judgment, and a commitment to confidentiality.
    • Strong interpersonal skills and a collaborative, service-oriented approach.
    • Adaptability to shifting priorities and evolving business needs.
    • Experience supporting multiple executives across a complex organization is preferred.
    • Familiarity with financial or risk-related terminology and workflows is an asset.
    • A self-starter mindset, taking initiative and ownership of outcomes.

    • Prepare executives for meetings with organized agendas and briefing materials.
    • Serve as a primary point of contact, maintaining professional communication with internal and external stakeholders.
    • Draft and format correspondence and reports, ensuring accuracy and attention to detail.
    • Arrange and manage domestic and international travel itineraries, including logistics and accommodations.
    • Coordinate internal events, such as leadership meetings and team offsites, ensuring seamless execution.
    • Prepare and process expense reports, track budgets, and maintain accurate records.
    • Support department-wide initiatives and cross-functional teams, collaborating with HR, Compliance, and Legal.
    • Anticipate executive and team needs, offering proactive solutions to enhance productivity.
