Executive Office Manager/Project Manager/Executive assistant to CEO & CFO
San Francisco, CA | Union Square | Onsite
$100,000-$120,000 + discretionary bonus
Exceptional candidates slightly above the range may be considered.
This is not your typical Executive Assistant role.
If you're the person who sees something inefficient and thinks, "There has to be a better way to do this," keep reading.
We're seeking an Executive Office Manager/Project Manager to support the CEO, CFO, and Corporate Office of a collaborative, family-owned enterprise in San Francisco.
Yes, there will be executive support. But this opportunity goes much further.
You'll help leadership drive projects forward, create order from ambiguity, improve processes, organize information, modernize systems, and make sure important commitments don't fall through the cracks.
Think:
Executive Assistant + Project Coordinator + Business Operations + Office Operations
The right person is proactive, highly organized, emotionally intelligent, comfortable with technology, and energized by figuring things out.
What You'll Do
Keep priorities moving
Attend leadership meetings and capture decisions, commitments, and action items
Maintain visibility into important projects and organizational priorities
Follow up with stakeholders and keep initiatives moving toward completion
Anticipate needs and help leadership distinguish what's urgent from what can wait
Bring structure and accountability to competing priorities
Build better ways of working
Identify opportunities to streamline processes and eliminate unnecessary manual work
Help modernize workflows, information, and document-management practices
Support organizational and process-improvement initiatives
Assist with projects involving document organization, cloud-based tools, and modernization
Explore practical uses of automation and AI-enabled productivity tools
Own projects and operational details
Coordinate cross-functional projects and special initiatives
Track deadlines, deliverables, and follow-up
Coordinate vendors
Research problems and help develop practical solutions
Support day-to-day corporate office operations
Partner with executives
Coordinate executive priorities and communications
Manage calendars and scheduling as needed
Prepare agendas, materials, meeting notes, and summaries
Support shareholder communications and family governance activities
Help reduce the administrative load on senior leadership so they can stay focused on the business
You'll Thrive Here If You…
See a problem and instinctively start thinking about solutions
Can take an end goal and run with it
Don't need a detailed playbook for every assignment
Are proactive rather than reactive
Know how to respectfully hold people accountable
Can navigate different personalities and leadership styles
Have excellent judgment, discretion, and emotional intelligence
Stay calm when priorities shift
Enjoy creating structure where it doesn't yet exist
Are curious about technology and how it can make work better
Care more about getting the right outcome than getting the credit
What We're Looking For
5+ years of experience across executive support, business operations, project coordination, office operations, administrative leadership, or a related area
Demonstrated experience improving a process, implementing a system, or driving an operational improvement
Strong project coordination, organization, and communication skills
Confidence interacting with senior executives and multiple stakeholders
Technology fluency and a willingness to learn new platforms quickly
Experience with Microsoft 365, SharePoint, Copilot, automation, or similar productivity tools is a plus
Bachelor's degree preferred; equivalent professional experience will also be considered
Your title today might be Executive Assistant, Executive Business Partner, Office Manager, Operations Coordinator, Project Coordinator, Business Operations Professional, or Project Manager.
We care more about what you've accomplished than what your title says.
Why This Role Is Different
This is an opportunity to become a true force multiplier for leadership.
You won't simply manage tasks. You'll help improve how work gets done.
You'll have exposure to executive leadership while contributing to projects involving organizational improvement, technology, operations, documentation, and process modernization. The environment is collaborative and relationship-driven, with an emphasis on flexibility, professionalism, and quality of life.
Location & Compensation
Union Square, San Francisco
This position is onsite, particularly during onboarding, with the corporate team generally working from the office. The location is accessible by BART. Flexible start/end times are available, and routine overtime is not expected.
Base salary: $100,000-$120,000 + discretionary annual bonus
Exceptional candidates slightly above the range may be considered.
The Bottom Line
If you're looking for an Executive Assistant position where you simply receive tasks and execute them, this probably isn't the right opportunity.
But if you're someone who asks:
"What are we trying to accomplish?"
"How can I make this easier?"
"Is there a better process?"
"What needs to happen next?"
…we'd love to hear from you.
