Position Title: Facilities Coordinator

Department: Maintenance

Reports To: Maintenance Supervisor/Facilities Director

POSITION SUMMARY

The Facilities Coordinator supports the daily operation, maintenance, and improvement of the workplace. This role works closely with the Facilities Director to help keep facilities safe, organized, and fully functional while also assisting with projects, vendor coordination, recordkeeping, and day-to-day service requests.

HOURS:

This position is primarily performed during regular business hours; however, flexibility to support facility operations, organizational priorities, or time-sensitive requests.

CATEGORIES OF DUTIES

  • Assist with routine facilities operations, maintenance coordination, and workplace support tasks.
  • Prepare project estimates, track work progress, and help maintain project documentation.
  • Conduct site inspections and report maintenance, safety, or operational issues promptly.
  • Maintain accurate records for work orders, inspections, inventory, and vendor activity.
  • Update and audit work order system data reports including compliance standards, inspections, and equipment logs.
  • Coordinate with vendors, contractors, and internal staff to support repairs, installations, and facility related services.
  • Support compliance with health, safety, and building procedures and help identify opportunities for improvement.
  • Travel between facilities, attendance at various meetings as assigned.

EDUCATION/EXPERIENCE

  • High school diploma or equivalent required.
  • Experience in facilities support, maintenance, building operations, or a related role preferred.
  • Basic knowledge of maintenance processes, safety practices, and facility procedures.
  • Ability to organize tasks, manage time effectively, and follow through on assignments.
  • Proficiency with basic office software and recordkeeping tools is helpful.

PREFERRED QUALIFICATIONS

  • Experience supporting facility improvement or maintenance projects.
  • Familiarity with vendor coordination, inventory tracking, or work order systems.
  • Broad knowledge of general trades, including plumbing, electrical, carpentry, and landscaping.
  • Additional training or certification related to facilities, safety, or building systems is a plus.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

This role may require regular walking, standing, bending, lifting, and moving supplies or equipment. The Facilities Coordinator may work in offices, common areas, storage spaces, and outdoor areas as needed. Occasional schedule flexibility may be required to support operational needs, special projects, or urgent maintenance issues.
