Qualifications:

  • 30+ postsecondary education credits in accounting, finance, business administration, or related field or four years of any combination of accounting/clerical work with experience in accounting, bookkeeping or statistical duties
  • Working experience in the State of Delaware's First State Financial System (FSF) required
  • Proficiency in technology software like Microsoft Office Applications in Excel and Word, Quicken or Quick Books, etc. preferred
  • Comprehensive knowledge of filing, accounting and record keeping procedures
  • Ability to establish and maintain effective working relationships with district personnel, vendors and the public
  • Shows evidence and knowledge regarding financial management and reporting
  • Proficiency in both written and oral English usage and proofreading
  • Knowledge of basic mathematics and comprehensive knowledge of filing, accounting and recordkeeping procedures
  • Ability to coordinate workload to meet schedules/deadlines
  • Demonstrates ability to make decisions, to work under pressure, and to exercise good judgment, discretion and confidentiality in performance of duties
  • Demonstrates pleasant, cooperative attitude
  • Demonstrates good attendance record
  • Effective verbal and written communication skills

Responsibilities:

This employee is responsible to the designated administrator(s) and performs secretarial/clerical duties in any or all of the areas below:

  • Review and analyze financial documents to ensure compliance with State Laws and District policies and procedures
  • Provide assistance to administrators and secretaries to review, reconcile and balance budgets
  • Prepare Job Aids to assist secretaries in processing financial documents through the state's financial system
  • Review and analyze financial documents to resolve any processing issues
  • Perform typing assignments, e.g., correspondence, labels, bulletins, rosters, reports Compose correspondence as requested by the administrator(s)
  • Receive, open, prioritize and re-direct mail to those who should take action and/or should be kept informed of its contents
  • Respond to requests for information/assistance
  • Maintain records and files
  • Assume responsibility for inventory, ordering, maintenance of office supplies/equipment
  • Operate appropriate office equipment
  • Assist the administrator(s) in developing and preparing information and compiling reports
  • Develop priorities, methods and procedures for effective performance of duties and office operation
  • Assist administrator(s) in administrative tasks
  • Prepare budget information, as required
  • Compile and prepare budgets, purchase orders, requisition forms, intergovernmental vouchers (IV), vendor payments (PV), change orders and other financial reports
  • Train and supervise other clerical personnel, as required by the assignment
  • Exercise good judgment and confidentiality in conformance with District policy
  • Perform other related tasks and assume other related responsibilities as assigned
