Position Overview
Our client is seeking a detail-oriented and highly organized HR Administrative Coordinator to support post-hire HR operations. This role is focused exclusively on administrative tasks that occur after a candidate has been hired, including background checks, onboarding, and related compliance and data management activities.
The ideal candidate is strong in time management, works with a sense of urgency, and can effectively multi-task in a fast-paced environment while maintaining a high degree of accuracy and confidentiality. This is a long-term contract position with the potential to convert to full-time employment based on performance and business needs.
Key Responsibilities
- Coordinate and process background checks, drug screens, and other verification requirements for newly hired employees.
- Support new-hire onboarding activities, including preparation and distribution of new-hire paperwork, I-9 verification assistance, and orientation coordination.
- Enter and maintain accurate employee and onboarding data into multiple HR and recruiting systems in a prompt and accurate manner.
- Track outstanding documentation and follow up with new hires and internal stakeholders to ensure timely completion of required post-hire processes.
- Respond to emails and inquiries related to onboarding status, documentation, and administrative next steps.
- Maintain organized digital and physical employee files in accordance with company policies and confidentiality standards.
- Provide general administrative support for post-hire HR processes, including status changes and related documentation as assigned.
- Exercise a high degree of discretion and maintain strict confidentiality of sensitive employee information at all times.
Required Education and Experience
- Bachelor’s degree in Business, Human Resources, or a related field.
- Minimum of 2 years of experience in recruiting support, HR administration, customer service, or a related role involving data entry, email correspondence, scheduling, and handling high volumes of inquiries.
Preferred Qualifications & Skills
- Prior experience supporting post-hire processes such as background checks, onboarding, and employee data management.
- Strong time management skills with the ability to prioritize work and operate with a sense of urgency.
- Proven multi-tasking ability and great attention to detail.
- Clear and professional written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Experience using applicant tracking systems (ATS) and/or HRIS platforms.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
