Job Details
Key Responsibilities and Duties
HR Administration & Employee Support
Assist with new hire onboarding, including preparing materials, coordinating first-day schedules, and ensuring required paperwork is completed accurately and on time
Support I-9 process administration by coordinating document review, tracking completion, and escalating questions to the appropriate HR team member
Maintain organized electronic HR records in accordance with established processes and confidentiality requirements
Assist with interview scheduling, candidate communications, and recruiting coordination as needed
Respond to routine employee questions and direct employees to the appropriate HR resource
Support employee status changes, document collection, and HR system updates under HR team direction
Prepare and distribute routine employee communications, forms, and HR materials using approved templates
Coordinate logistics for training sessions, employee meetings, engagement activities, recognition efforts, and company events
Maintain HR trackers and checklists to support accurate and timely follow-through
Provide administrative support for HR projects and escalate questions, risks, or employee concerns to HR leadership
Submit a weekly written report to the VP of Human Resources detailing project and work status
Office Management & Workplace Support
Maintain a professional, organized, safe, and welcoming office environment for employees and visitors
Manage office supplies, kitchen inventory, snacks, beverages, and workplace amenities within established guidelines
Coordinate incoming and outgoing mail, package deliveries, and office shipments
Maintain conference rooms, common areas, shared workspaces, and new hire workspaces so they are ready for daily use
Serve as primary point of contact for routine office questions, visitor support, and workplace requests
Coordinate basic facility and maintenance requests with vendors, property management, and internal partners
Support office access coordination/badging, guest hospitality, catering, meeting setup, and local employee events
Maintain office calendars, recurring checklists, and vendor contact records
Administrative & Vendor Coordination
Coordinate orders, deliveries, and scheduled services with office vendors and service providers
Track invoices, receipts, and HR or office-related expenses for review and payment processing
Prepare documents, spreadsheets, presentations, and meeting materials using Microsoft 365 tools
Escalate facility, safety, employee, or workplace concerns to the appropriate internal partner
Support additional HR, office, and administrative projects as business needs evolve
Qualifications
Needed:
1–2 years of experience in Human Resources support, office coordination, administrative support, customer service, or hospitality; relevant internship or coursework may be considered
Demonstrated interest in building a career in Human Resources while supporting office operations and employee experience
Experience or strong background in onboarding coordination, employee documentation, and maintaining organized records
Strong organizational skills with proven ability to manage multiple routine priorities and deadlines
Ability to maintain confidentiality, handle employee information appropriately, and escalate questions when needed
Strong attention to detail and comfort working from checklists and established processes
Proficiency with Microsoft 365 — Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
Ability to work onsite in Richardson, TX five days per week and occasionally support events outside normal business hours
No degree or certification required
Preferred:
Coursework or experience related to employee onboarding, Human Resources, business administration, or office management
Experience scheduling interviews, coordinating meetings or training sessions, or supporting employee events
Experience in a growing company or multi-location environment
Exposure to HRIS platforms or I-9 documentation processes
Comfort learning new HR systems, processes, and compliance requirements
