West Hartford Public Schools is seeking a Lead Secretary for the QUEST Gifted and Talented Program. In this key role, you will provide exceptional administrative support and foster a welcoming environment for staff, students, families, and the community. This full-time, 12-month position includes a comprehensive benefits package.

Qualifications:

Prior secretarial experience, preferably supporting academic or enrichment programs.

Excellent organizational, verbal, and written communication skills.

Ability to manage multiple tasks in a fast-paced, dynamic environment.

Strong interpersonal and problem-solving skills; ability to handle confidential information with discretion and attention to detail.

Proficient computer skills, including Google Workspace, Microsoft Office, and management systems.

Experience with school or district data systems (e.g., AESOP, Frontline, PowerSchool) is preferred.

Ability to perform responsibly and interact with staff, students, families, and the public in a self-reliant, courteous, and professional manner.

Self-starter with strong organizational skills and an ability to work independently with minimal supervision.

Duties for this position include, but are not limited to, the following:

Provide secretarial and administrative support to the QUEST Program Director and staff members, including scheduling, communications, budgeting, and recordkeeping.

Complete daily assignments and job-related responsibilities with care, accuracy, and promptness. Summarize essential points and key takeaways from meetings to share with the team.

Oversee and coordinate the functions of office staff and act as a liaison between QUEST and district administrators as required.

Maintain program files, student records, and confidential documents.

Assist with the preparation and management of reports related to the QUEST program.

Coordinate and prepare the QUEST program budget and purchasing, including instructional materials and programmatic services.

Support the organization of QUEST events, meetings, and professional development activities.

Provide additional administrative and program support as needed.
