This role emphasizes operational excellence, responsiveness, and exceptional client service. We are seeking a highly organized, motivated self‑starter who thrives in a fast‑paced environment, takes initiative, and demonstrates strong technical proficiency. The ideal candidate can effectively multitask, prioritize competing demands, and consistently meet tight deadlines. Strong communication skills and a collaborative mindset are essential for interacting professionally with clients, attorneys, and staff. Proficiency in Microsoft Word and Excel required; experience with a document management system is preferred.ESSENTIAL FUNCTIONS Draft, type, and proofread correspondence, memoranda, and other legal documents; prepare and maintain lists, tables, and Excel worksheets. Corporate practice experience preferred.Coordinate and schedule meetings, including reserving conference rooms, arranging catering, preparing materials, managing calendars, and welcoming clients.Manage travel arrangements and expense reporting for legal professionals.Provide comprehensive administrative support, including calendar management, phone coverage, document organization, copying, scanning, and handling incoming and outgoing mail.Conduct research and compile information as requested.Develop, implement, and maintain efficient office organization systems.Perform additional administrative and support duties as assigned.QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES) High School diploma required, along with 3–5 years of relevant administrative or legal assistant experience.Exposure to mergers & acquisitions, securities law, or corporate compliance and law firm billing and document management software is preferred.Strong technical proficiency with job‑related software applications, including Microsoft Word and Excel.Excellent organizational skills with the ability to manage multiple priorities, work independently, and meet deadlines in both routine and high‑pressure situations.Strong written communication skills with keen attention to detail, including proofreading for grammatical, typographical, and spelling accuracy.Effective interpersonal skills to communicate professionally in person, by phone, and via email.Ability to follow instructions and collaborate with a diverse group of clients, attorneys, and staff while maintaining professionalism and tact.Demonstrated ability to handle sensitive information with discretion and maintain strict confidentiality.ACCOMMODATION STATEMENT If you need assistance and/or a reasonable accommodation due to a disability during the application or the recruiting process, please contact Nate Maxwell at 215-979-1000.CALIFORNIA APPLICANTS Please visit our Privacy Notice and to learn about our information practices in the application and employment context.Disclaimer: The above is intended to describe the general content of and requirements for the performance of this job.
