Job Title: Legal Office Support
Location: Dallas, TX (onsite)
Duration: 03 Months Contract
Mon-Fri, 9:00am 6:00pm

Overview

This role supports daily operations in a legal office environment, including high-volume copy and print services, mail and shipping, document management, scanning, reception, file services, and general office support. The ideal candidate is confident, organized, customer-focused, technically savvy, and able to work independently while managing multiple priorities.

Responsibilities

  • Operate high-volume copiers and perform copying, binding, finishing, quality control, and final document checks.
  • Perform scanning, OCR, file conversion, file naming, FTP transfers, Table of Contents (TOC) management, and file formatting for printing and Excel files.
  • Handle highly confidential and time-sensitive legal documents with a high level of accuracy and quality.
  • Troubleshoot copier issues, clear paper jams, perform basic equipment maintenance, and coordinate repair service calls.
  • Maintain copier areas, daily meter readings, service logs, billing logs, and supply inventories.
  • Sort, distribute, receive, and ship mail, packages, faxes, and office supplies, including applying postage and checking packing slips.
  • Perform filing, archiving, purging, and document retrieval as requested.
  • Deliver completed jobs to designated locations within and between customer sites.
  • Respond to customer inquiries regarding job status and coordinate off-site projects when needed.
  • Support meeting and conference room setup, office moves, light maintenance, re-lamping, housekeeping, and other building support functions.
  • Operate bindery and finishing equipment, including paper cutters, hole drills, joggers, tape machines, stackers, electric staplers, shrink-wrap machines, scales, postage meters, calculators, fax machines, and related equipment.
  • Provide professional support to legal secretaries, paralegals, associates, partners, project managers, and executive-level staff.
  • Prioritize multiple assignments, communicate updates to requestors, meet tight deadlines, and work occasional overtime, evenings, weekends, or emergency response shifts as needed.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED.
  • 1 2 years of related office, print, copy center, or document services experience.
  • Minimum of 2 years of legal industry experience is highly preferred.
  • Excellent customer service, interpersonal, verbal, and written communication skills.
  • Strong decision-making, leadership, organizational, time management, teamwork, multitasking, and problem-solving abilities.
  • Confident, open-minded, flexible, and able to work independently.
  • Technical proficiency with high-volume copiers, scanners, document management systems, and related hardware/software.
  • Working knowledge of shipping and receiving procedures.
  • Basic electronics and copier troubleshooting experience preferred.
  • Ability to understand technical manuals and written instructions.
  • Experience handling confidential and sensitive documents in a fast-paced legal environment.
  • Ability to maintain accuracy while working under pressure and meeting tight deadlines.
  • Flexible schedule with the ability to work early mornings, late evenings, weekends, and overtime when required.
  • Valid driver's license and minimum auto insurance coverage may be required.
