Our Litigation department has an excellent opportunity for a Legal Secretary in the Atlanta office. This is a non-exempt position that reports to the Human Resources Manager. The ideal candidate will possess excellent people, organizational, and planning skills and the ability to adapt to fast-paced ever-changing priorities. This role requires creativity and the ability to think innovatively and exercise independent judgment when necessary while handling sensitive and confidential information. This position has an in-office presence of five (5) days a week.
Responsibilities:
Deliver excellent work and superior service to the Firm’s attorneys and clients; contribute to the Firm’s reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of six or more attorneys.
Extensive e-filing experience in both State and Federal courts.
Record and monitor deadlines through the Firm docketing system and individual attorney calendar systems.
Prepare, proof, and format correspondence, pleadings, and other necessary documentation.
Organize and prepare notebooks for depositions, hearings, arbitrations, mediations, and trials.
Make travel arrangements, answer telephones, read and route incoming mail, maintain attorney calendars and contact lists, schedule appointments, reserve conference rooms, organize and coordinate meetings and conferences, maintain filing, process new business intake, and prepare expense reports.
Enter, review, and edit attorney time entries in time entry system (Intapp) and on proforma bills.
Demonstrate teamwork by providing secretarial and administrative support to others whenever necessary to meet Firm and client needs; organize and prioritize workload for maximum efficiency and facilitation of Firm and client goals. Foster professional, cooperative, and supportive relationships with peers, superiors, and clients.
Other duties as requested and assigned.
Requirements:
High School diploma or General Education Degree (GED); with 4 years of related experience or the equivalent combination of education and experience.
E-filing experience; proficient in local jurisdictional and federal court rules and procedures.
Proficiency in Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint.
Excellent written and verbal communication skills. Ability to communicate effectively with all levels of staff members and attorneys.
Ability to multi-task and be detail-oriented with strong organizational skills.
Demonstrates good judgment, tact, and flexibility under pressure in a mixed-matrix environment with many competing priorities.
A strong client service approach and team orientation.
Ability to work overtime when needed.
