Blue Whale Materials is an American recycling company producing a source of domestic critical minerals from battery material. We are building lithium-ion battery recycling facilities producing a high-quality black mass containing cobalt, nickel, manganese, and lithium in the first stage of a closed-loop solution for lithium-ion battery manufacturers. Blue Whale Materials has established its first recycling plant in Bartlesville, OK. As we grow, we are seeking talented and motivated candidates to join our team. Position Overview

The Logistics Coordinator is responsible for scheduling and coordinating all inbound and outbound shipments for Blue Whale Materials. Working closely with the Materials Manager, this role ensures the accurate and timely flow of materials by managing dock schedules, generating purchase orders, entering landed costs into the ERP system, and serving as the primary point of contact with carriers and freight brokers. This position plays a key role in keeping production supplied and customer orders shipped on time.

Duties & Responsibilities

• Coordinate and schedule all inbound and outbound shipments, ensuring alignment with production needs, warehouse capacity, and customer delivery requirements.
• Partner closely with the Materials Manager to plan shipment timing, prioritize loads, and resolve scheduling conflicts.
• Generate and issue purchase orders in accordance with material requirements and supplier lead times.
• Schedule and manage dock appointments, coordinating with warehouse and dock personnel to avoid delays and bottlenecks.
• Enter and reconcile landed cost data (freight, duties, and fees) in the ERP system to ensure accurate inventory and product costing.
• Serve as the primary point of contact with carriers, freight brokers, and third-party logistics providers; negotiate rates and resolve service issues as needed.
• Track shipments in transit and proactively communicate delays or exceptions to internal stakeholders.
• Maintain accurate shipment records, including bills of lading, packing lists, and proof-of-delivery documentation.
• Monitor freight costs and identify opportunities to improve efficiency and reduce shipping expenses.
• Ensure compliance with applicable transportation regulations, safety requirements, and company policies.
• Support month-end close activities related to freight accruals and landed cost reporting.
• Perform other duties as assigned.

Qualifications

• Associate's or Bachelor's degree in Supply Chain Management, Logistics, Business, or a related field preferred; equivalent work experience will be considered.
• 5+ years of experience in logistics coordination, transportation, dispatch, or a related supply chain role.
• Working knowledge of ERP systems (e.g., SAP, NetSuite, Epicor, or similar) required; experience entering landed cost or freight accrual data is a plus.
• Strong understanding of inbound/outbound freight processes, dock scheduling, and carrier management.
• Excellent verbal and written communication skills, with the ability to work effectively with carriers, brokers, and internal teams.
• Strong organizational skills and attention to detail; able to manage multiple shipments and priorities simultaneously.
• Proficiency in Microsoft Excel and general office software.
• Ability to work effectively under time pressure in a fast-paced manufacturing/distribution environment.

Physical Requirements

• Primarily an office environment within a manufacturing/distribution facility, with regular visits to dock and warehouse areas.
• May involve occasional exposure to warehouse conditions (noise, temperature variation, forklift traffic).
• Ability to sit or stand for extended periods and occasionally lift up to 25 lbs.
