We are looking for a friendly, organized, and proactive Office Administrator/Executive Assistant to be the face of our office. This role is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping daily operations running smoothly.

Key Responsibilities
  • Greet clients, visitors, and vendors with professionalism and warmth.
  • Answer and direct incoming phone calls and emails.
  • Manage calendars, appointments, and meeting schedules for executives.
  • Maintain organized filing systems, records, and office documentation.
  • Order and manage office supplies and coordinate with vendors.
  • Assist with preparing reports, correspondence, presentations, and other business documents.
  • Coordinate travel arrangements, meetings, and company events as needed.
  • Handle incoming and outgoing mail and deliveries.
  • Support bookkeeping tasks, data entry, and invoice processing (as applicable).
  • Maintain a clean, organized, and welcoming office environment.
  • Assist with special projects and provide administrative support across departments.
Qualifications
  • Previous experience in an administrative, executive assistant, receptionist, or office management role preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to prioritize tasks and work independently.
  • Professional appearance and positive attitude.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Experience with office equipment and multi-line phone systems.
  • High attention to detail and problem-solving skills.
