Position Summary

We are seeking a highly organized and proactive Office Coordinator to support the day-to-day operations of our Cincinnati office. This role serves as the primary point of contact for office administration, facilities coordination, visitor services, and vendor relationships while ensuring a professional, efficient, and welcoming workplace environment.

The ideal candidate is detail-oriented, resourceful, and able to manage multiple priorities independently while partnering with employees, corporate departments, and external service providers.

Key Responsibilities

  • Coordinate the daily administrative operations of the Cincinnati office.
  • Serve as the primary liaison with building management, property management, and office service vendors.
  • Manage incoming mail and distribute or route correspondence to appropriate internal teams.
  • Coordinate office access, visitor registration, and badge management to ensure a positive visitor experience.
  • Schedule and manage office resources, including parking accommodations and shared facilities.
  • Maintain office supplies, breakroom inventory, and coordinate replenishment with approved vendors.
  • Assist with facilities-related requests, maintenance issues, repairs, and office improvement projects.
  • Coordinate document shredding, records management, and other office support services.
  • Support office safety initiatives, emergency preparedness activities, and building communications.
  • Assist with invoice processing, lease administration, and other administrative or financial support activities as assigned.
  • Build strong working relationships with internal stakeholders and external business partners to ensure smooth office operations.
  • Maintain accurate administrative records and documentation.
  • Support special projects, company initiatives, meetings, and events as needed.
  • Perform other duties and responsibilities as assigned to support business operations.

Qualifications

  • 2+ years of experience in office administration, office coordination, facilities support, or a related administrative role.
  • Excellent organizational skills with the ability to prioritize multiple responsibilities.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Strong customer service mindset with a professional and positive approach.
  • High attention to detail and strong problem-solving skills.
  • Ability to maintain confidentiality and exercise sound judgment.
