A well-established, family-owned company is seeking an Office Manager to join the team. This is a key administrative and operational role for a small business, and the ideal candidate will be extremely reliable, detail-oriented, loyal, discreet, and capable of handling a busy, high-pressure office environment. The Office Manager is responsible for managing the day-to-day administrative operations of the office, including overseeing accounts receivable and payable, coordinating with vendors and customers, assisting with basic HR functions, and supporting ownership with the administrative details needed to run the business.

Responsibilities:
Manage the daily administrative operations of the office.
Help oversee accounts receivable, including customer follow-up and collections calls.
Assist with accounts payable, vendor bills, and payment coordination.
Help maintain customer, vendor, employee, and job records.
Assist with basic HR functions, employee paperwork, onboarding, benefits coordination, and compliance paperwork.
Support scheduling, communication, and coordination between office staff, field employees, customers, and vendors.
Help manage overseas data entry/support personnel and ensure work is completed accurately and timely.
Assist with contracts, customer paperwork, certificates, insurance documents, and basic administrative documentation.
Help organize work orders, quotes, invoices, and job-related paperwork.
Maintain office systems, procedures, files, and records.
Communicate professionally with customers regarding billing, receivables, scheduling, and administrative matters.
Provide general support to ownership and help ensure nothing falls through the cracks.
Requirements:
5-7+ years of office administration, office management, or small business operations
Experience with accounts receivable, accounts payable, customer follow-up, and vendor coordination
Basic HR and employee administration experience preferred
Strong communication skills by phone and email
Trustworthy, discreet, loyal, and dependable
Able to follow through without constant supervision
Comfortable managing multiple priorities at once
Practical, hands-on, and willing to handle both high-level and basic administrative tasks
Experience in construction, industrial services, field service, equipment, inspection, or a similar industry would be a plus, but is not required
