Office Manager | Property Restoration North Shore, MA | Full-time | On-site | $70,000 - $85,000 per year + benefits
About us We’re an established, growing property restoration company serving homeowners, businesses, and insurance partners across Massachusetts and New Hampshire. When a pipe bursts or a fire hits, our crews respond 24/7. The office keeps every job organized, documented, billed, and paid. We’re hiring an Office Manager to lead that operation, including our accounts receivable and accounts payable team. This posting is confidential, and all inquiries will be handled discreetly.
What you’ll do
Office leadership
- Run daily office operations and act as the central point of contact for customers, adjusters, crews, and vendors
- Manage a team of 5-7 employees
- Keep job files complete and accurate from first call through final payment: photos, moisture logs, signed authorizations, estimates, and invoices
- Coordinate with insurance carriers, adjusters, and third-party administrators so documentation meets program requirements and claims don’t stall
- Support HR administration, including onboarding paperwork, employee records, certifications, and policy acknowledgments
- Manage vehicle, insurance, and compliance records, along with vendor accounts and office supplies
Accounting team management
- Supervise the AR/AP team: set priorities, review work, train new staff, and hold the team to clear targets
- Own receivables performance by monitoring aging, directing collections follow-up, and escalating disputed or stalled invoices before they become write-offs
- Oversee payables, including vendor invoice approval, payment scheduling, and subcontractor documentation
- Prepare payroll data each pay period and make sure timekeeping is accurate
- Deliver weekly reporting to leadership on collections, cash flow, job flow, job audits, and KPMs
What you bring
Required
- 3+ years of office management or senior administrative experience in a fast-paced, service-based business
- Hands-on experience with accounts receivable and accounts payable, including collections and aging management
- Experience supervising or leading staff.
- Excellent team performance management and leadership experience
- Strong organization; you can manage dozens of open files at once without letting any of them slip
- Confidence working with insurance adjusters, customers, and field crews, including under pressure
- Proficiency with QBO accounting software and Microsoft Office
- Discretion with sensitive financial and employee information
- History of managing multiple KPMs to successful levels
Preferred
- Experience in restoration, construction, insurance claims, or another trade business
- Familiarity with Xactimate, XactAnalysis, or carrier/TPA claim platforms
- Experience with job costing or construction billing
- Associate’s or bachelor’s degree in accounting, business, or a related field
What we offer
- Salary of $70,000 - $85,000, based on experience
- Health, vision, and dental insurance: single premium 100% company-paid; family coverage at 50%
- 401(k) retirement plan with company match
- Safe Harbor profit sharing contributions
- Combined Time Off (CTO)
- IICRC certification offered
- Steady, year-round work in an essential industry
- A leadership team that gives you real ownership of the office and the accounting function
