Part-Time Chemistry Travel and Seminar Coordinator

Job Summary

This position must understand Indiana University (IU), College of Arts and Sciences (COAS), and the Departments travel and seminar policies and procedures at a high level to best serve the research and teaching missions of the Department.

Department-Specific Responsibilities

• Works as a team member of the chemistry administrative team in providing administrative assistance and support to faculty, staff, and students
• Primarily performs tasks pertaining to departmental travel and seminar activities but may assist with other duties as assigned
• Creates speaker visit itineraries and makes travel arrangements for employees and visiting speakers
• Books lodging, ground transportation and dinner for visitors
• Publishes daily and weekly seminar information
• Ensures seminar room is prepped, and audio-visual equipment is functional
• Prepares and serves refreshments ahead of each seminar
• Monitors the kitchen inventory and reorders supplies as needed
• Cleans and organizes the kitchen to be ready for the next event
• Reconciles travel, p-card transactions and out-of-pocket transactions
• Monitors the chemtrav@iu.edu and chemsem@iu.edu email accounts

Qualifications

EDUCATION

Required

• High school diploma or equivalent (such as GED or HSED)

WORK EXPERIENCE

Preferred

• Office experience
