Job Summary: Immunization Records Administrative Assistant

- Serve as the primary customer-facing contact for the Arizona Department of Health Services Bureau of Immunization Services.
- Manage, process, and issue immunization records to individuals and agencies in compliance with Arizona state regulations and legal standards.
- Accurately search, update, and retrieve patient data within the Arizona State Immunization Information System (ASIIS registry).
- Handle high-volume requests for records via email, fax, mail, phone, and in-person interactions.
- Provide empathetic, patient, and professional customer service, addressing complex inquiries independently once trained.
- Review, verify, and distribute immunization records while ensuring privacy and confidentiality.
- Manage the receipt, sorting, and delivery of all incoming mail, packages, and deliveries to appropriate recipients.
- Maintain strict adherence to confidentiality and privacy standards related to sensitive health information.
- Utilize MS Office (Word, Excel), Google Workspace, and Adobe Acrobat for documentation and communication tasks.
- Demonstrate strong communication skills, attention to detail, problem-solving abilities, and organizational skills.
- Prioritize tasks and multitask efficiently in a fast-paced, high-volume environment.
- Previous experience in administrative support, healthcare, or public health settings preferred.
- ASIIS registry experience and proven customer service skills are highly desirable.
- 100% onsite position; must be local and available for in-person interviews and immediate start upon offer.
