The Receptionist role at DuBose Law Firm is designed to provide crucial support to our front-office operations. As the primary point of contact for clients and visitors, this position is essential in maintaining our personalized approach and ensuring seamless communication between our clients and legal staff. This is a part time role Tuesday through Friday, from 10:00 AM to 5:00 PM. Your role will be pivotal in upholding our firm’s reputation for personal attention and exceptional client service, shaping first impressions, and managing daily administrative tasks. Through your contribution, you will support our mission to create a positive impact in our clients' lives.

What you’ll do:

• Front Desk Management: Serve as the first point of contact for visitors and callers, creating a professional, welcoming, and positive first impression of the firm.
• Telephone Communication: Answer and route incoming calls efficiently, take accurate messages, and help ensure callers receive timely follow-up and assistance.
• Intake Support: Conduct preliminary intake calls with potential clients, gather initial information, and direct inquiries to the appropriate team members.
• Client Interaction: Provide compassionate, professional assistance to clients and visitors by answering routine questions and supporting a positive client experience.
• Administrative Duties: Support daily office operations through routine administrative tasks, including scanning, document organization, data entry, and general office support.
• Mail Processing: Prepare outgoing mail and coordinate document shipments through USPS and UPS, ensuring materials are handled accurately and in a timely manner.
• Office Upkeep: Help maintain a clean, organized, and welcoming office environment by keeping shared spaces stocked, assisting with routine office upkeep, and taking out the trash. 

What we’re looking for:

• Customer Service Experience: Prior experience in a customer-facing, reception, or front-desk role with a demonstrated commitment to providing outstanding service.
• Communication Skills: Strong verbal communication skills with professional telephone etiquette and the ability to interact confidently with clients and visitors.
• Dependability: Demonstrated reliability, strong follow-through, and the ability to work independently while managing daily front-office responsibilities.
• Technology Proficiency: Basic computer proficiency with experience in data entry, office software, and learning new systems as needed.
• Problem Solving: Ability to remain calm under pressure, handle upset or emotional callers with professionalism, and recognize when to escalate situations appropriately.
• Attention to Detail: Strong attention to detail with the ability to accurately manage administrative tasks, client information, and day-to-day office responsibilities.
