Sigma Inc. is seeking a professional and customer-focused Receptionist / Administrative Service Coordinator to support the Commonwealth of Massachusetts, Department of Elementary and Secondary Education (DESE) in Boston, MA.
This is an excellent opportunity for an organized Receptionist, Front Desk Receptionist, Administrative Assistant, Office Coordinator, or Administrative Service Coordinator who enjoys working with visitors, employees, vendors, and the public in a professional government environment.
The ideal candidate will provide excellent front-desk customer service, answer and route telephone calls, assist visitors, support mailroom and print-center activities, and help maintain a safe, organized, and efficient office environment.
Key Responsibilities
- Serve as the front-desk receptionist, greeting visitors and directing them to the appropriate staff or department.
- Answer incoming telephone calls and route calls to the appropriate employees.
- Screen and sign in visitors in accordance with DESE security protocols.
- Maintain a professional, safe, orderly, and clean lobby and reception area.
- Serve as a liaison between agency employees and vendors.
- Provide friendly and responsive customer service to employees, visitors, vendors, and other stakeholders.
- Respond to inquiries regarding operational policies and procedures.
- Support the mailroom by sorting incoming mail and notifying employees when packages arrive.
- Assist with individual office supply requests and fulfillment.
- Provide support to the mailroom and print center as needed.
- Operate photocopiers and assist with print-related requests.
- Help ensure timely delivery of agency mail and requested print projects.
- Review and follow established emergency procedures.
- Report facilities-related issues, including HVAC, electrical, and plumbing concerns, to management and follow up as needed.
- Maintain confidentiality and professionalism when handling agency information and visitors.
Required Qualifications
- Previous experience in reception, front desk, administrative support, customer service, office coordination, or a similar role.
- Strong verbal and written communication skills.
- Professional and courteous telephone etiquette.
- Ability to greet and assist visitors in a professional manner.
- Strong organizational and multitasking skills.
- Ability to follow security, emergency, and office procedures.
- Strong attention to detail.
- Ability to interact effectively with employees, vendors, visitors, and the public.
- Comfortable operating standard office equipment, including photocopiers.
- Ability to work onsite during regular business hours.
