Sigma Inc. is seeking a professional and customer-focused Receptionist to support the Commonwealth of Massachusetts – Department of Children and Families (DCF) in Waltham, MA. This short-term opportunity is ideal for candidates with strong front desk, customer service, administrative, data entry, and records management experience who enjoy working in a fast-paced office environment.

Job Details

  • Job Title: Receptionist
  • Location: Waltham, MA
  • Client: Commonwealth of Massachusetts – Department of Children and Families (DCF)
  • Duration: 1-Month Contract
  • Schedule: Monday – Friday, 7.5 hours per day
  • Work Arrangement: 100% Onsite

Responsibilities

  • Welcome clients, visitors, and staff in a professional and courteous manner.
  • Answer and route incoming telephone calls to the appropriate departments.
  • Provide information regarding DCF office locations, programs, and available services.
  • Perform accurate data entry, typing, and word processing using Microsoft Word and Excel.
  • Maintain filing systems, archived records, and records management processes.
  • Process closed case records, archive submissions, and archive requests.
  • Track case assignment and personnel data using internal systems.
  • Assist staff with entering information into the FamilyNet system and conducting FamilyNet searches.
  • Support social workers with MassHealth insurance claims processing.
  • Assist with managing Social Security and Title II payment accounts at the area office level.
  • Process incoming and outgoing mail, faxes, and other office correspondence.
  • Provide administrative and clerical support for office staff and special projects.
  • Assist the Area Director and administrative team as needed.

Required Qualifications

  • High School Diploma or equivalent required.
  • Previous experience as a Receptionist, Administrative Assistant, Front Desk Coordinator, Office Assistant, or Administrative Clerk.
  • Strong customer service and interpersonal skills.
  • Experience with data entry, filing, and records management.
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to maintain confidentiality while handling sensitive information.
  • Ability to multitask and prioritize work in a busy office environment.

Preferred Qualifications

  • Experience working in a government agency, social services, healthcare, legal, or nonprofit office.
  • Experience with electronic case management or records systems.
  • Familiarity with FamilyNet or similar case management software is a plus.
  • Experience supporting social workers or case management teams is preferred.
