The Facilities & Hospitality department of the Stanford Graduate School of Business seeks a Residential Services Coordinator. This position will work under the general supervision of the Assistant Director of Program Residential Services and as part of a team of 10 Residential Service Coordinators, five of whom report to the Assistant Director of Student Residential Services. The Residential Service Coordinator is the key support person for residents and guests-providing excellent hospitality and customer service, handling administrative tasks, and ensuring safety and security in a 24/7 environment.

In this role, you will have the opportunity to engage with students and guests from all over the world along with gaining experience within a Facilities and Hospitality department in an academic setting. This entry-level position can help launch your career at Stanford.

Your primary responsibilities* include:

• Respond to routine inquiries from students, faculty, external constituents, and staff.
• Serve as a subject matter resource to students and other departments.
• Contribute to general office administration and process improvements, which may include report creation and distribution, filing, data entry, collating, guest check-in/out, billing, audits, and preparing reservation material.
• Review documents and forms for completeness, track files for follow-up, and distribute for review.
• Process and sort all incoming and outgoing mail and deliveries.
• Coordinate logistics for outreach activities, meetings, and events.
• Ensure the security and safety of residents, conference, and program guests. Inform residents and guests of residential policies and procedures and enforce policies when issues of non-compliance arise.
• Research and resolve routine issues such as service requests and minor maintenance. Refer complex issues to other staff.
• Routinely inspect facilities and maintain assigned areas.

Minimum Requirements:

• Strong written and verbal communication skills.
• Basic computer skills, including experience with Microsoft Office Suite.
• Customer service skills.
• Basic office administration skills.
• Strong critical thinking and sound decision-making capacity.
• Ability to learn compliance with legal, financial, and university policies and external regulations.

Certifications and Licenses Required:

• Associate's degree and one year of relevant experience, or combination of education and relevant experience.

Physical Requirements:

• Often sit, perform desk-based computer tasks.
• Frequently stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 50 pounds.

Work Conditions & Standards:

• Non-Remote & 100% onsite.
• Regular work schedule is Sunday 6:30 am - 3:00 pm & Monday through Thursday 2:30 pm - 11:00 pm. Work shifts may vary depending on staff vacation or time-off requests.
• Must be willing and able to work some holidays.
• Schedule may fluctuate with shifts ranging from morning to evening.

In addition, preferred requirements include:

• Experience working in a high-volume front desk or reception environment
• Demonstrated ability to handle difficult or escalated customer interactions professionally
• Experience supporting diverse or international populations
• Experience with housing, reservation, or property management systems
• Familiarity with ticketing or service request platforms (e.g., facilities or IT request systems)
• Experience using data tracking or reporting tools (Excel beyond basics, dashboards, or databases)
• Multilingual abilities
• Experience working in higher education, student housing, or campus services
• Familiarity with basic safety protocols, emergency response, or incident reporting
• Experience planning or supporting events, conferences, or residential programs

The expected pay range for this position is $34.36 to $40.29 per hour. Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
