Description
Overview:
We are seeking a detail-oriented Construction Safety Administrator to support the Heath and Safety Team. In this role, you will manage administrative tasks, maintain safety records, coordinate training programs, and ensure compliance with OSHA and industry regulations.
The ideal candidate is organized, proactive, and passionate about workplace safety in a fast-paced construction environment.
Responsibilities:
Administrative Support: Schedule meetings, prepare agendas, take minutes, and distribute safety reports and communications for the Health and Safety team. As well as, handle correspondence, and provide general secretarial support including filing, photocopying, and vendor coordination
Record Management: Maintain accurate digital and physical records of safety inspections, incident reports, training certifications, and compliance documentation using tools like SharePoint or safety management software (e.g., SmarTagIt, ProCore)
Compliance Assistance: Prepare and file regulatory reports (e.g., OSHA 300 logs, Form 301 incidents); monitor deadlines for permits, audits, and safety audits
Data Entry and Reporting: Input safety metrics into dashboards, generate weekly/monthly/quarterly reports on near-misses, injuries, and trends; as well as observations and inspections
Communication: Serve as the first point of contact for safety-related inquiries from employees, contractors, and regulatory bodies; distribute safety bulletins and newsletters
Event Support: Assist with safety committee meetings, stand-down events, and company-wide safety campaigns
Qualifications:
Education: High school diploma or equivalent required; associate's degree in business administration, office management, or related field preferred
Experience: 2+ years in an administrative or secretarial role, preferably in construction, manufacturing, or safety-related fields. Familiarity with construction safety standards (OSHA 1926, ANSI) a plus
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with safety software beneficial
Strong organizational skills with attention to detail and ability to handle confidential information
Excellent written and verbal communication; typing speed of 60+ WPM
Ability to multitask in a high-volume environment and meet tight deadlines
Ability to interpret instructions and complete tasks as assigned
Certifications: OSHA 10-hour or 30-hour General Industry/Construction certification preferred; valid driver's license for occasional site visits
Physical Requirements: Primarily office-based with occasional travel to job sites; ability to lift up to 25 lbs. for supply management
Other: Must pass background check and drug screening; commitment to safety culture
