    Who are we hiring? Senior Administrative Assistant will provide comprehensive hands-on support to senior executives within Sphere Studios by managing complex calendars, coordinating meetings and high-priority initiatives, overseeing travel and event logistics, maintaining key documents and communications, and ensuring seamless execution of projects across teams while acting as a trusted partner who enables leadership to focus on strategic priorities in a fast-paced, high-profile environment.

    What will you do? 

    •    Coordinate executive meetings, schedules, and high-priority initiatives in a constantly shifting environment. 
    Serve as a liaison across internal departments to maintain smooth communication and workflow. 
    •    Support additional executives or departments as needed, ensuring seamless coverage and continuity of operations. 
    Track meeting action items, follow-ups, and deadlines to ensure timely completion. 
    •    Anticipate contingencies and strategically prioritize tasks across multiple projects. 
    Prepare travel and expense reports using Concur or a comparable program. 
    •    Handle administrative tasks, including document management, printing, database entry, and ordering supplies. 
    Coordinate detailed meeting logistics, including materials, instructions, and A/V setup. 
    •    Review correspondence and identify appropriate follow-up actions, ensuring timely responses. 
    Support logistics, scheduling, and coordination for team events, off-sites, and client engagements. 
    •    Manage highly confidential information with discretion and maintain proper version control of documents. 
    Execute ad-hoc projects to support company initiatives and improve internal processes. 

    What do you need to succeed? 

    •    Minimum of 5 years of experience supporting senior executives in a matrixed organization, preferably within production studios, media, or entertainment. 
    Highly organized and detail-oriented, with the ability to anticipate the impact of simultaneous projects. 
    •    Skilled at managing dynamic calendars with tact, diplomacy, and sound judgment. 
    Demonstrated ability to quickly understand organizational structure and execute team objectives in complex and ambiguous environments. 
    •    Maintain confidentiality and professionalism at all times. 
    Experience with Concur or a comparable platform for managing expenses and travel. 
    •    Energetic, positive, outgoing, and resourceful. 
    Proficient in Microsoft Outlook, Excel, Word, PowerPoint, Teams, Slack, Zoom, and Google Workspace. 

    Special Requirements

    •    Light travel may be required. 
    Availability to work outside of normal business hours as needed to support required schedules.
