Job Summary:
  • The Site Operations Coordinator is responsible for overseeing daily operations at a small-to-medium-sized site, ensuring seamless execution of mailroom and office services.
  • This individual will handle tasks such as processing mail, managing office supply logistics, setting up conference rooms, and responding to facilities requests.
  • Working in a fast-paced environment with executive-level employees, the role requires strong customer service skills, adaptability, and operational efficiency.
  • This role may transition from temporary to permanent based on performance. The position involves moderate physical activity, including walking, cart usage, and occasional lifting (up to 50 lbs with assistance).
Key Responsibilities:
  • Manage daily operations of mailroom and office services, including mail processing, conference room setup, and equipment usage (e.g., mail and copy machines).
  • Respond to and resolve facilities requests promptly to ensure customer satisfaction.
  • Oversee office supply inventory, including ordering and delivery logistics across assigned floors.
  • Foster a customer-focused environment through exceptional service and adaptability to changing needs.
  • Supervise and guide a small team, providing training, coaching, and performance evaluations as necessary.
  • Utilize Ricoh tools and products efficiently, offering alternatives where appropriate.
  • Ensure operational quality by meeting deadlines, achieving service level agreements (SLAs), and adhering to company compliance standards.
  • Conduct and support client reporting, presentations, and business reviews in alignment with contractual requirements.
  • Identify process improvement opportunities to enhance service delivery and align with financial goals.
Requirements:
  • High school diploma or GED required.
  • 1+ years of experience in a related field (B2B or technical industries).
  • Previous customer-facing work experience (1+ year).
  • Demonstrated understanding of technology and basic technical aptitude.
  • Excellent written and verbal communication skills.
  • Moderate problem-solving abilities and tactical thought processing.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency in managing and leading a small team.
Physical Requirements:
  • Frequent walking and use of carts for delivering mail and supplies.
  • Ability to lift up to 50 lbs with assistance.
