Senior Administrative Assistant

Position Summary

We are seeking an experienced Senior Administrative Assistant to provide advanced administrative and operational support to a department and its professional staff. Under limited supervision, this role is responsible for managing a variety of administrative, clerical, and fiscal support functions. The ideal candidate is highly organized, detail-oriented, able to manage confidential information, and capable of handling multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide advanced administrative and clerical support to departmental staff and leadership.
  • Prepare reports, correspondence, presentations, and other business documents.
  • Manage routine office functions including filing, scanning, copying, mailing, and faxing.
  • Answer and direct incoming phone calls and respond to inquiries in a professional manner.
  • Coordinate calendars, meetings, appointments, and travel arrangements.
  • Maintain departmental records and filing systems.
  • Assist with daily departmental operations and fiscal activities.
  • Collect, compile, and analyze moderately complex data and information.
  • Monitor and maintain office supply inventory.
  • May provide guidance, training, or mentoring to junior administrative staff.
  • Perform additional duties and special projects as assigned.

Required Qualifications

Education

  • High School Diploma or GED required.

Experience

  • Minimum of seven (7) years of related administrative experience required.

Knowledge, Skills, and Abilities

  • Strong knowledge of office management and administrative procedures.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency with Microsoft Office Suite and standard office technologies.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to work independently and effectively prioritize responsibilities.
  • Strong attention to detail and accuracy.

Physical Requirements
