The Office Manager keeps our front office running smoothly so every client feels welcomed and every visit starts and ends well. You’ll lead the front desk team, manage schedules and day-to-day administration, and be a friendly, steady presence for clients and coworkers alike. This is a great role for someone who enjoys organization, customer service, and helping a close-knit team do its best work.

You’ll follow established office procedures and bring questions or unusual issues to leadership.

Reports to: Practice owners

CLIENT EXPERIENCE

• Warm Welcome: Greet every client with professionalism and care, and create a calm, welcoming front office.
• Front Desk Leadership: Lead front desk operations, including phones, appointment scheduling, check-in and check-out, and smooth client flow.
• Client Support: Respond to client questions and concerns promptly and courteously, escalating to leadership when needed.

TEAM SUPPORT

• Staff Scheduling: Build and maintain front office schedules to keep the desk covered, and pitch in when the team is busy.
• Team Spirit: Help create a positive, team-oriented environment and celebrate team milestones like birthdays and work anniversaries.
• Training: Help train new front desk team members on office procedures and practice software.

OFFICE OPERATIONS

• Opening & Closing: Serve as a keyholder and open or close the office as scheduled.
• Office Supplies: Track and reorder office supplies, and keep the front office clean, organized, and professional.
• Daily Reports: Complete end-of-day reports, handle payments and refunds, and prepare weekly bank deposits.
• Records & Procedures: Keep office records organized and up to date, follow established procedures, and support compliance and safety programs.
• Other Duties: Help with marketing and administrative projects and other duties as assigned.

About You

• The Organized Pro: 2+ years of front office, reception, or office management experience; veterinary or medical office experience is a plus.
• The Friendly Face: You enjoy helping people and bring warmth, patience, and professionalism to every client interaction.
• The Team Player: You’re dependable, positive, and ready to support coworkers when the office gets busy.
• The Problem Solver: You stay calm under pressure and find practical solutions, deferring medical questions to our veterinarians.
• The Tech-Savvy Communicator: You’re comfortable with Microsoft Office, email, and practice management software, and you write clearly and professionally.

Physical Requirements & Work Environment

• Ability to lift up to 30 pounds
• Frequent sitting, standing, and walking, with some bending and reaching
• Possible exposure to animal bites and scratches, animal waste, and unpleasant odors and noise
