Project Coordination tIdentifies project bid opportunities through various sources (i.e., WCCA, BidNet) and communicates with management team to determine acceptability for bidding tSets up bid proposal files, creates estimating books, works with the estimating team to identify specific proposal responsibilities, ensures proposal deadlines are met, and creates final proposal document tMaintains and distributes ongoing estimating schedule and follows up with estimating team as necessary tSets up job files for awarded projects along with sending requests for performance and payment bonds, certificates of insurance, and tax-exempt certificates, as required tCoordinates temporary toilet delivery & set-up, utility locates, and other pre-construction duties as necessary to assist the Project Manager and Superintendent tCreates and maintains project checklists, superintendent books, and current project number list tWorks with Project Manager in project closeout including development of operations & maintenance manual tWorks with the project management team in creating past performance documents and maintains past performance documents for use in future bid propos Human Resources Management tWorks with Chief Financial Officer in development and maintenance of various job descriptions tMaintains job applicant database, processes employment applications, and distributes to management team for review and potential action tCoordinates the hiring process and paperwork for new hires including DOT driver processing tManages the annual open enrollment period for health, dental, and vision insurance, reviews eligibility with employees, and processes necessary health related insurance forms tProcesses SIMPLE IRA retirement enrollment tCoordinates and manages the worker's compensation program and ensures reporting compliance tMaintains the various training and certifications required for field operations tHandles renewals for VETS 4212, fire suppression, cost containment, and others, as needed tMaintains employee motor vehicle reports (MVRs) and works with insurance company in management of approved driver list for company vehicles tCoordinates the employee exit process and related paperwork Safety Coordination tSources various safety topics and works with field management team to coordinate & maintain the weekly Safety Talks program tManages the safety points incentive program for the company tDevelops and processes OSHA 300 reporting Travel Management tCoordinates travel arrangements for employees including motel rooms and airline reservations, as necessary tMaintains and distributes appropriate meal reimbursement funds for per diem payment to traveling employees; requires management of n cessary cash box General Office Duties tManages website updates including plan room project and document coordination through company dropbox account tManages generic email account for the company tCoordinates and manages company parties tProcesses necessary office posters, memos and flyers tMaintains office supplies and shops virtually or physically, as necessary, to replenish stock Accounting Clerk Backup (to assist in Accounting Clerk's absence or work overload) tProcesses weekly payroll including federal and state deposits, direct deposit for payroll checks, retirement plan deposits, and maintenance of payroll control spreadsheet tCodes accounts payable invoices and inputs into the company's accounting system MINIMUM QUALIFICATIONS Required Knowledge, Skills and Abilities: Education: High school diploma or equivalent required; Associate's degree preferred Experience: A minimum of three (3) years of office experience preferred, with at least one (1) year in human resources highly preferred; previous experience in construction, projects, payroll processing, and/or accounts payable input a plus Required Knowledge & Ability: tExcellent verbal and written communication skills tExcellent organizational skills and attention to detail tAbility to type at least 40 words per minute. Summary/Objective: This is a multi-function office position with emphasis on project coordination (including estimating & proposals), human resources management, safety coordination, travel management, and general office duties.
