The Office Manager’s work is focused on supporting Watershed Council working committees, providing administrative support for grant billing and other tasks, and managing office records and the office space. The Office Manager supports the Skagit Watershed Council (SWC) in the implementation of salmon and steelhead habitat recovery efforts in the Skagit and Samish watersheds.

Position Title:            Office ManagerSalary Range:            $26.77 per hour, 0.75 FTE (30 hrs/wk) with competitive benefits  <h2>Position Summary</h2>The Office Manager supports the Skagit Watershed Council (SWC) in the implementation of salmon and steelhead habitat recovery efforts in the Skagit and Samish watersheds. The Office Manager’s work is focused on supporting Watershed Council working committees, providing administrative support for grant billing and other tasks, and managing office records and the office space. This position works closely with the Executive Director, other SWC staff, and committee chairs. It requires excellent communication and organizational skills, including the ability to work collaboratively with diverse individuals and interests. <h2>Key Responsibilities</h2><h4>Meeting & Event Coordination</h4>•       Provide administrative support and coordination for SWC meetings in collaboration with meeting chairs, the Executive Director, and staff.•       Help prepare agendas, meeting packets, and other materials.•       Take and distribute meeting minutes as needed.•       Act as elections official for Council of Members meetings.•       Plan, coordinate, and manage logistics for major events including the Annual Lunch and quarterly Members meetings.•       Assist with committee and board meeting scheduling, materials preparation, and follow-up.<h4>Membership & Communications Support</h4>• Maintain and update membership rolls. • Track member participation and assist with membership communications. • Provide customer service and support to members, partners, and the public. • Help maintain the organization’s shared contact lists, email lists, and outreach materials.<h4>Financial & Grant Administration</h4>•       Assist with billing, invoicing, and expense tracking for grants and organizational accounts.•       Support the Executive Director and other staff with budget documentation and reporting.•       Coordinate with accounting contractors/vendors on documentation and compliance.<h4>Administrative & Office Management</h4>•       Maintain and organize office space, supplies, and equipment to ensure smooth day-to-day operations.•       Manage the organizational calendar, including scheduling meetings and events.•       Maintain organizational records (electronic and physical), ensuring accuracy, accessibility, and compliance with record-keeping policies.•       Preserve and update the history of the organization.•       Support the Executive Director with special projects as assigned. <h2>Minimum Qualifications</h2>Ø Three years of experience showing proficiency in providing administrative support for meetings and managing information and records.Ø Proven success in working independently and with diverse individuals.Ø Excellent verbal and written communication skills.Ø Demonstrated proficiency in Microsoft Office Suite, including TEAMS.Ø Valid driver’s license and insured, personal vehicle. <h2>Preferred Qualifications</h2>Ø Familiarity with the Skagit Watershed and/or salmon recovery efforts in WA State.Ø Basic bookkeeping skills.Ø A bachelor’s degree in a natural resources field. The work location is at the organization’s office at 815 Cleveland Avenue, Suite 201, Mount Vernon and at various meeting locations throughout Skagit County. The hiring rate is dependent upon several factors, including but not limited to education, training, work experience, terms of any applicable collective bargaining agreement, seniority, etc. Job Summary Responsible for monitoring the overall services, developing quality and performance indicators, gathering data for analysis as well as ensuring continuous improvement to optimize services and stewardship of resources. Supervises daily activities, focusing on operations and effective use of resources within established budget. Responsible for operational performance including the quality, service environment and regulatory compliance. Makes administrative decisions, provides direction and authorizes and acts in the absence of the department manager and/or hospital administration. Essential Functions + Provide leadership for clinical excellence, personnel management, resource management, fiscal accountability and maintenance of positive working relationships with staff, physicians, managers, patients, their families and the public. Communicates appropriately with the person served regardless of their age. + Make assessment rounds of all patient care areas throughout the hospital at least once per shift. Provide support, guidance, and education for the staff and assists them as needed. Keeps managers and directors apprised of bed capacity and barriers to patient placements, including the need to consider treat & transfer. Responds to codes and RRTs, coordinates caregivers responding to codes. + Direct and collaborate with the staffing coordinator/office or Charge Nurse in decision making of how nursing units are staffed and intervene in patient placement issues. + Promote problem identification, investigates hospital incidents, facilitate resolution and follow up and communicate as necessary, assists in documentation of incidents. + Act as contact for news media, law enforcement agencies, coroner, etc. when indicated. + Assist with the coordination of transfers to and from other facilities, assuring completion of appropriate forms and notification of receiving facility. + Interpret organizational policies and procedures of the hospital and nursing departments as necessary. + Provide for the initiation of legal Mental Health Holds and provide for transport to appropriate evaluation facilities. Provide for the safety of the patient, staff, other patients and visitors, while ensuring that the patient's legal rights are not violated. + Coordinates notification of Pastoral Care according to the needs & requests of patients, families, and staff. + Responsible for the coordination & delegation of the guesthouse, disbursement of the indigent fund, & organ donation requests. + We really need someone to cover nights with the flexibility to cover sick call. + Performs other duties as assigned.
