Assisting the executive in everyday tasks by handling important emails and messages; * Sending information to advisors and peers without delay; * Making travel and lodging reservations including verification and proactive follow up; * Using word processing, spreadsheets, databases, and presentation software to send out valuable messaging from executive; * Scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive; * Being a proactive problem solver with exceptional communication skills, correct usage of grammar and meticulous attention to details; * Conserving executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications; * Answering phones, screening visitors, preparing reports, filing and organizing documents, recording meeting outcomes; * Gathering and preparing all expense reports in a timely fashion; * Providing back-up to office manager in accounting, mail distribution, phone management and any other task deemed appropriate; * Providing new business support as time allows. This may include advisor registration, LIPQ entries, APS follow ups, and other work deemed necessary by management; * Maintaining executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel accurately and proactively; * Maintaining professionalism and confidentiality in all aspects of the position; * Preparing minutes of meetings, memos, reports, letters, and other documents.
