Job Responsibilities The Records Specialist shall perform the following essential tasks/responsibilities: Receive and enter incoming high school transcripts daily; Maintain, update, and audit student academic records with a high level of accuracy; Verify authenticity and validity of student transcripts received from approved sources; Respond to inquiries from students, faculty, staff, and external agencies regarding records and registration; Track and disseminate copies of transcript records as requested by internal departments and external institutions of higher education; Prepare and respond to external court ordered requests for information in compliance with FERPA; Perform quality assurance checks on all student record additions and modifications in the Colleges student information system; Assist the Registrar with preparing student records and regalia for the commencement ceremony; Assist the Student Affairs Department with planning and execution of the commencement ceremony operations; Scan student records and forms in the Colleges digital document storage system; Manage safe and secure storage of archived physical records; Assist the Student Affairs Department with student registration functions as assigned; Ensure compliance with institutional policies and state/federal regulations, including Family Educational Rights and Privacy Act (FERPA) guidelines, when processing and releasing student records; Perform other duties as assigned by the Registrar, the Dean of Student Affairs and Enrollment Management, and the President of the college or person designated by the President. Ensure accurate maintenance and updating of academic records for all MACC students-past and present-within the student information system and in both digital and physical storage environments.
