JOB OVERVIEW Job Description Summary:The Student Accounts Office (SAO) is committed to providing excellent service to students throughout their educational experience at the George Washington University. SAO’s goal is to ensure that student accounts are billed, collected, and reconciled in a timely manner that is compliant with university policy and all applicable federal regulations. This includes, but is not limited to: tuition, fees, room and board. SAO is also responsible for processing refunds, generating the IRS form 1098-T and billing for third party agreements. The office works closely with the Office of Student Financial Assistance, the Registrar and Colonial Central to provide students and parents with a helpful, friendly experience when completing administrative and financial tasks. The Assistant Director, Student Accounts Office reports to the Director, Student Accounts. This position manages a team of four staff which includes: 2 coordinators and 2 third party billing specialists. The duties will be as follows:<ul><li>Assist the Director, Student Accounts in collaborating with individual schools, the University Budget Office, the Registrar’s Office, Undergraduate Admissions, Graduate Admissions and technical personnel to develop billing rates and course information (collectively “rules”) to support the student account management process.</li><li>Manage the testing process of these rules with registration information to provide assurance that the invoices are accurate before they are distributed.</li><li>Manage the day-to-day student account activity such as interfaces from TouchNet, and other activity on the student’s accounts. Assign resources to departmental tasks, establishes interim goals to track the staff’s progress and adjusts workload accordingly.</li><li>Provide systems support for TouchNet, Banner, EAS, and other applicable systems as needed. This includes maintenance of validation and security tables, 1098T file processing, troubleshooting, submitting tickets to DIT or outside vendors, testing, and/or upgrades/implementation.</li><li>Assist the Student Accounts Director, UAS, and other GW partners in researching account discrepancies, assessment questions, etc.</li><li>Manage and lead a team of four that is responsible for the daily transactions on a student’s account (students and third party sponsors). Provide feedback on performance to help assist with individual growth and overall business functionality. Conduct annual performance evaluations.</li><li>Investigate opportunities for process improvements and submit well defined plans to Director, Student Accounts for consideration. If the idea is approved, take steps to implement proposed solution by developing ideas, training staff and updating procedures.</li><li>Interact with internal colleagues to support the student experience. Provide training and support as needed to ensure customer service staff are able to provide optimal service. Provide Tier 3 level customer support to customer and user inquiries escalated from the customer service areas by researching and analyzing information resulting from the customer inquiries or management’s request.</li><li>Ensure that assigned projects are delivered on time and with expected results such as semester invoices, monthly and ad hoc reporting.</li><li>Prepare analytical insightful and accurate reports to senior management related to revenue and assist with reporting on accounts receivable collection efforts.</li></ul> Perform other duties as assigned.
