Westmoreland County is accepting applications for a Legal Secretary Trainee in the Public Defenders Office.The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. This position will work closely with associates, shareholders, and paralegals on the full administrative duties. Some of the key anticipated responsibilities are listed below:<ul><li style="color:#222222;line-height:normal;background:white">Support attorneys and paralegals on administrative items including receiving and opening mail. Distributing the mail to the appropriate attorneys and paralegals.</li><li style="color:#222222;line-height:normal;background:white">Transcription of dictation for some attorneys for correspondence including letters to clients, engagement letters, and memos to clients and client files.</li><li style="color:#222222;line-height:normal;background:white">Draft discovery in addition to pleadings.</li><li style="color:#222222;line-height:normal;background:white">Complete monthly expense reports and credit card statements, scanning, and printing documents.</li><li style="color:#222222;line-height:normal;background:white">Maintain electronic and physical client files.</li><li style="color:#222222;line-height:normal;background:white">Maintain attorney's calendars by setting appointments, coordinating schedules, and setting up meetings, pleadings, electronic filing.</li><li style="color:#222222;line-height:normal;background:white">Answer phones and communicating with courts and prothonotaries.</li><li style="color:#222222;line-height:normal;background:white">Draft and review legal correspondence. Proofread, correct grammar, spelling, punctuation, and formatting.</li><li style="color:#222222;line-height:normal;background:white">Format briefs and pleadings. Create an automated table of contents.</li><li style="color:#222222;line-height:normal;background:white">Finalize all forms of documents, correspondence, pleadings, and reports.</li><li style="color:#222222;line-height:normal;background:white">File pleadings in state and federal court (both electronic and mailing).</li><li style="color:#222222;line-height:normal;background:white">Perform conflicts checks and other administrative tasks necessary for the creation of new client or matter files.</li><li style="color:#222222;line-height:normal;background:white">Ability to redact, add legends and bates labels to documents in preparation for production.</li><li style="color:#222222;line-height:normal;background:white">Enter attorney's billable time.</li><li style="color:#222222;line-height:normal;background:white">Request checks and paying invoices.</li></ul><ul><li style="text-align:justify">Assist the support team with coverage for receptionist or other secretaries.</li></ul> Please note that we champion the development of all roles.
