Administrative/Accounts Payable Assistant - Family Office
The incumbent will be an integral part of the Family Office group providing bookkeeping and day-to-day administrative support. The ideal candidate will have an strong interpersonal skills with an approachable and professional demeanor, excellent verbal and written communication skills; able to handle and respond to multiple requests and department demands; thrives in a fast paced and dynamic environment, is not easily over-whelmed; is a team player but able to work independently. Position provides for flexible hours and work-life balance.
Duties & Responsibilities
- Order personal items as needed by family members, organize, sort, and distribute incoming mail
- Accounts Payable: Review bills, get proper authorization, enter bills, pay vendors either online or print physical checks, ready them for signatures and mail in a timely manner using QuickBooks
- Analyze bill discrepancies, communicate and resolve issues with vendors via phone or email
- Post payments received, scan and attach copies of checks into QuickBooks
- Receive, open and sort all mail
- Update Excel schedules of personal and business assets for multiple entities
- Handle special projects and other tasks as needed by the Family members, CFO, and Controller
REQUIREMENTS/EDUCATION and/or EXPERIENCE
- Basic knowledge of QuickBooks accounting software
- Intermediate knowledge of Microsoft Excel, Word, Outlook
- Well organized
- Strong attention to detail
- Must be able to communicate both verbally and in writing, in a professional manner with proper grammar
- Ability to work independently and follow through on assignments with limited direction
- Strong time and project management skills
