Job Summary
The Administrative Assistant supports the Consumer Assistance Unit by processing external appeal requests, maintaining organized case files, and communicating with consumers, providers, insurers, and internal stakeholders. This role requires strong administrative, communication, and organizational skills to manage high-volume, time-sensitive casework while following established procedures and protocols. The ideal candidate will be detail-oriented, able to multitask effectively, and capable of working independently as well as collaboratively within a team environment.
Job Responsibilities
- Evaluate external appeal applications for eligibility based on established procedures and protocols
- Process and maintain electronic case files to ensure accuracy, completeness, and organization
- Request required information from consumers, providers, insurers, and other stakeholders in writing
- Respond to inquiries regarding external appeal processes through written and verbal communication
- Serve as a liaison between internal teams, consumers, providers, and insurers regarding administrative processes
- Screen external appeal requests and supporting documentation in accordance with established guidelines
- Handle correspondence, phone calls, emails, and other communications with internal and external stakeholders
- Prepare and maintain documents, reports, and case-related materials
- Follow up on deliverables and outstanding items with internal stakeholders
- Manage multiple complex and time-sensitive files in a high-volume work environment
- Adhere to written procedures, project timelines, and attendance expectations
- Perform additional administrative duties as assigned
Job Requirements
- Minimum of 5 years of experience processing documents and corresponding with external entities required
- Eligibility to work in New York State required
- Excellent written and verbal communication skills required
- Strong interpersonal and customer service skills
- Ability to understand and follow written procedures and protocols
- Strong organizational and project management skills
- Ability to prioritize and manage multiple time-sensitive assignments simultaneously
- High attention to detail and accuracy in document and case management
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams
- Ability to work independently and collaboratively within a team environment
- Reliability and strong attendance record required
- Writing sample may be required during the hiring process
Work Experience
- Previous experience in administrative support, case management, document processing, or customer communication environments preferred
- Experience handling high-volume administrative workflows preferred
