Position Summary:

The Administrative Assistant supports the Maintenance Teams by processing payroll and hiring documentation and providing administrative assistance as directed by the Manager of Facilities Administration. This position serves as the primary point of contact for the Maintenance Department, welcoming visitors and responding to inquiries in person and by phone.

Key Responsibilities

  • Processes payroll for the Maintenance staff within PeopleSoft. This includes coordinating with supervisors to obtain hours, entering the time and reconciling leave sheets to leave taken.
  • Prepares, updates, and manages personnel paperwork for employees of the department. Regularly updates staff rosters in addition to producing rosters with emergency information, and rosters for other special events/situations.
  • Provides administrative support for the Maintenance leadership teams including being the primary person to answer all calls, reception, and correspondence including but not limited to managing calendars and scheduling meetings taking minutes and scheduling interviews.
  • Maintains the uniform inventory closet and orders uniforms as needed throughout the academic year, submitting monthly mileage sheets for department owned state vehicles, ordering office supplies, as well as other administrative tasks.
  • Creates and maintains attendance reports for maintenance areas to be reviewed by leadership with the purpose of ensuring that attendance standards are being met. Creates and maintains yearly Maintenance On-Call calendar and assists with custodial On-Call calendar as needed.

Job Related Minimum Required Education and Experience

  • Typically holds a high school diploma or GED. Requires 1 or more years of job related experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications

  • Bachelor's degree and 1 year work experience related to the job, or high school diploma and 5 years directly related to the area of employment.
  • Experience in tracking and entering time worked into a payroll system.

Knowledge/Skills/Abilities

  • Demonstrated skills in the use of a computer, printer, copier, and telephone. Knowledge and use of professional etiquette is required, and the Facilities Operations Coordinator will be polite, helpful, interested, and diligent in serving all who enter or telephone the office.
  • This position has been designated as essential personnel during inclement/ hazardous weather and other emergencies.

Job Duties

Job Duty

Also includes reconciling time worked with work orders, to ensure accurate processing all staff payroll paperwork. Will be primary back-up for the Custodial, Warehouse and Move Crew team for processing payroll and hiring if needed. Processes payroll and paperwork for Summer temporary staff. Enter time worked, absences, and other time actions into HCM PeopleSoft.

Provides support for the Operations department if needed. Assists with procurement of maintenance equipment and supplies.

Creates and maintains yearly Maintenance On-Call calendar and assists with custodial On-Call calendar as needed. Continuously maintains the Maintenance Team roster and distributes as necessary on a monthly basis.
