We are seeking a detail-oriented and dependable Administrative Assistant to support our office operations and help keep projects running smoothly.

Position Summary

The Administrative Assistant will provide administrative and clerical support to the office and project management team. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced construction environment.

Key Responsibilities

  • Answer phones, greet visitors, and manage incoming and outgoing correspondence
  • Maintain office files, project documents, and digital records
  • Assist with subcontractor and vendor communication
  • Support project managers with paperwork, contracts, RFIs, submittals, and change orders
  • Prepare and track invoices, purchase orders, and basic accounting documents
  • Schedule meetings, appointments, and deliveries
  • Order office supplies and maintain a clean, organized office
  • Perform other administrative duties as assigned

Qualifications

  • High school diploma or equivalent required (associate degree preferred)
  • Previous administrative or office experience (construction or trades experience is a plus)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask, prioritize, and meet deadlines
  • Professional demeanor and reliable attendance
