Administrative Assistant

Location: Fort Worth, TX (100% Onsite)
Duration: 6-Month Contract with Possible Extensions
Schedule: Monday–Friday, 8:00 AM – 4:00 PM
Interview Process: In-Person

Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative and clerical support to multiple managers and their teams. This role is ideal for someone who enjoys working in a fast-paced office environment, managing multiple priorities, and ensuring day-to-day operations run smoothly.

The successful candidate will have excellent organizational skills, strong communication abilities, and experience supporting a variety of administrative functions while maintaining confidentiality and accuracy.

Key Responsibilities

  • Provide administrative and clerical support to multiple managers and team members.
  • Manage calendars, schedule meetings, and coordinate conference rooms and meeting equipment.
  • Prepare correspondence, including letters, memos, and other business documents.
  • Process invoices, purchasing card statements, travel expenses, time reporting, and other departmental documentation.
  • Maintain department files, records, and administrative documentation with a high level of accuracy.
  • Coordinate travel arrangements and assist with travel-related documentation.
  • Order, monitor, and maintain office supplies for multiple departments.
  • Compile, organize, and prepare weekly, monthly, and quarterly reports.
  • Gather, summarize, and organize information for special projects and departmental initiatives.
  • Coordinate department meetings and events, including scheduling, logistics, and meeting preparation.
  • Record meeting minutes, document action items, and distribute follow-up information to attendees.
  • Distribute incoming mail and assist with additional administrative tasks as assigned.
  • Collaborate with other administrative professionals to provide cross-functional support when needed.

Qualifications

  • Experience providing administrative or executive support in a professional office environment.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Experience handling confidential and sensitive information with professionalism.
  • Ability to work independently while collaborating effectively with multiple teams.
  • Strong interpersonal skills with the ability to communicate effectively across all levels of an organization.
