Job Summary

 

The Administrative Assistant provides administrative and clerical support to ensure efficient office operations. This role supports managers and employees through a variety of organizational, communication, and documentation tasks while handling confidential and time-sensitive information. The Administrative Assistant ensures work is completed accurately, professionally, and within required timelines while maintaining strong internal and external communication.

Essential Job Duties

  • Provide administrative support to management and office personnel.
  • Answer and direct incoming phone calls professionally.
  • Manage incoming and outgoing correspondence, including email and mail distribution.
  • Prepare, organize, and maintain office records, reports, and documentation.
  • Maintain filing systems (electronic and paper).
  • Assist with preparation of internal communications and operational documents.
  • Schedule meetings, appointments, and calendars as requested.
  • Support coordination of office activities and departmental communication.
  • Maintain confidentiality of sensitive company and employee information.
  • Enter and update data accurately in company systems.
  • Assist with document scanning, copying, and distribution.
  • Support workflow coordination between departments as needed.

Non-Essential Job Duties

  • Order and maintain office supplies.
  • Assist with special administrative projects.
  • Support event coordination or internal initiatives as assigned.
  • Provide back-up support to other administrative staff when needed.
  • Perform additional duties as assigned to support business operations.

 

Required Skills:

Qualifications

  • High school diploma or equivalent required.
  • Prior administrative or clerical support experience preferred.
  • Strong organizational and time-management skills.
  • Ability to manage confidential information professionally.
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office applications.
